About The Position

Chevron is accepting online applications for the position Administrative Assistant, Field through April 28th, 2026 at 11:59 p.m. (Mountain Time). This position reports to the Superintendent of Operations and provides administrative and coordination support to the Superintendent and the leadership team. The position requires exceptional independence, initiative, discretion, accuracy, adaptability, and confidentiality. Responsibilities for this position include, but are not limited to: Calendar & Travel Management Manage the Superintendent’s calendar, scheduling and coordinating meetings and engagements. Coordinate travel. Manage expense tracking and reporting with high level of accuracy and promptness. Office Support & Coordination Perform full administrative support for Superintendent and leadership team members as needed. Monitor and meet deadlines, ensuring prompt handling of requests and action items. Maintain strong communication with internal leaders, support staff, and external partners. Build and sustain networks across Chevron and external organizations. Use current tools and leverage technology applications such as Teams, Copilot, PowerBi, Outlook, Word, Excel, PowerPoint to complete tasks. Maintain a growth mindset toward learning new digital tools and Chevron IT applications. Coordinates office moves and on/off boarding activities for employees. Coordinate meeting logistics such as scheduling, catering, conference/video call setup, room arrangements, and visitor badge processing. Maintain adequate PPE inventory levels and serve as the primary contact for uniform rentals and winter‑weather PPE procurement. Provide local interface and support for payroll and vehicle fleet management. Serve as the primary interface for staff in the Carlsbad office performing tasks that require a local presence such as ensuring the reliability of spares and pool vehicles through weekly vehicle checks, coordinating maintenance with local shops, fleet tracking, and spare key management. Execute procurement responsibilities—including purchase card purchases, GEP SMART service requisitions, invoice management, and land‑use payments. Maintain proper record storage, ensure compliance with record‑retention requirements, and travel to field office locations and Hobbs office as needed to backfill other office assistants when the need arises. Manage SharePoint sites, central repositories, distribution lists and communication channels.

Requirements

  • Proficient in the Microsoft Office Suite of applications
  • Additionally, must exhibit a growth mindset for all things digital – applications, new software, Chevron IT applications, etc
  • High School Diploma or equivalent
  • Valid driver’s license
  • Minimum of 3 years secretarial and administrative experience
  • Demonstrate excellent organization and communication skills
  • Ability to prioritize and meet deadlines while producing high-quality work
  • Demonstrated professionalism and strong influencing skills
  • Capable of building quality relationships with team members
  • Ability to work independently and be self-directed with minimal supervision

Nice To Haves

  • Chevron experience desired.
  • Ability to interface effectively with all levels of a diverse workforce.
  • Event planning or project management experience.
  • Advanced skills in Excel, PowerPoint, SharePoint, Word.
