Position Summary: The Specialist I, Administrative Assistant provides comprehensive administrative support to the Facilities Team. This role is responsible for coordinating schedules, managing communications, organizing meetings, and supporting daily administrative operations. Responsibilities include purchase requests, SAP entries, document preparation, and other administrative tasks as assigned to ensure efficient department operations.

Requirements

  • Associate’s degree in Business Administration, Office Management, or a related field preferred. Equivalent experience may be considered.
  • 2–4 years of experience in an administrative or office support role, preferably in a corporate or manufacturing environment.
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with office management or ERP systems such as SAP.
  • Excellent verbal and written communication skills with the ability to interact professionally with leadership, colleagues, and external partners.
  • High level of accuracy, attention to detail, and problem-solving ability.
  • Ability to work independently and adapt in a fast-paced environment.

Nice To Haves

  • Experience in the renewable energy sector is a plus.

Responsibilities

  • Provide general administrative support, including managing schedules, arranging meetings, handling phone calls and emails.
  • Prepare and process correspondence, reports, and documents as needed.
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure meeting rooms and equipment are set up and ready.
  • Maintain accurate records and databases, including project details, and financial documents. Enter and update data as required.
  • Prepare, edit, and format documents, presentations, and reports. Ensure that all documents are properly filed and accessible.
  • Assist with various projects and initiatives, providing administrative support and coordination as needed. Contribute to project planning and execution.
  • Track budgets, expense reports, and prepare purchase orders as needed.
  • Other task as assigned.
