About The Position

Orchard Farm School District is seeking an Administrative Assistant to join our facilities team! Our mission is to empower each learner to excel in diverse communities. The Administrative Assistant - Facilities, will provide clerical support to administrators and other staff members to ensure a smooth operation of the maintenance and custodial departments. Requirements

  • High School graduate or equivalent
  • Two (2) years clerical expeience
  • Ability to relate to students, staff, and parents in a positive manner
  • Ability to communicate clearly in verbal and written form
  • Ability to follow written and oral communication
  • Ability to problem solve
  • Ability to safeguard confidential information
  • Strong computer skills including word processing, working with spreadsheets and databases (Microsoft Office and Google Suite)

Nice To Haves

  • Bachelors degree or college credits, preferred

Responsibilities

  • Perform general office duties including answering phones, greeting public, typing, filing, and sorting.
  • Composes documents (e.g., correspondence, bulletins, reports) for Building Administrator or other staff for the purpose of requesting or providing information, confirming events, etc.
  • Maintain operations for district key entry system.
  • Maintain and publish accurate and up-to-date events calendars utilizing web software to post and update.
  • Provide administrative support to custodial department with ordering, vendors, and logistics.
  • Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
  • Assists in maintaining the daily/weekly/monthly calendar for the purpose of coordinating the scheduling of work-related appointments, activities, meetings, etc.
  • Assists in overseeing workload of the Department Head for the purpose of maximizing efficiency and meeting operational requirements.
  • Assists in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
  • Answers telephone calls, and provide district/facillities information to assist callers.
  • Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.
  • Be knowledgeable about and supportive of administrative procedures and directives.
  • Deal tactfully with staff, students, parents and the public.
  • Manage special project as assigned by Director.
  • Make professional development arrangements for Maintenance staff and director.
  • Perform other functions as assigned by the Director/Superintendent of Schools.
