About The Position

Join our Engineering team in a vital role that keeps the resort running smoothly behind the scenes. As the Administrative Assistant you will provide essential administrative, payroll, and dispatch coordination that supports daily operations across the property. This position is ideal for a detail-oriented professional who enjoys organization, teamwork, and contributing to an exceptional guest experience through operational excellence.

Requirements

  • Work primarily indoors throughout the hotel with occasional exposure to outdoor weather conditions and temperature extremes.
  • Possible exposure to hazardous chemicals.
  • Ability to lift up to 30 pounds and perform repeated bending or stooping when filing.
  • Hearing, vision, speech, and literacy are essential for communication, computer use, and documentation.
  • Ability to operate standard office equipment including a computer, copier, telephone, fax, and radio system

Responsibilities

  • Perform general office duties including typing, filing, answering phones, and document preparation.
  • Maintain property operations logs, purchase order ledgers, payroll records, and departmental files.
  • Assist with inventory tracking and ordering of engineering supplies.
  • Maintain engineering records related to events and daily operations.
  • Review daily BEOs to identify engineering needs and communicate unusual requests to department leadership.
  • Dispatch Engineering staff for work assignments in coordination with Engineering leadership.
  • Maintain repair and preventive maintenance logs using the Synergy computerized work-order system.
  • Support payroll accuracy using Kronos in partnership with the Director and Assistant Director of Engineering.
  • Adapt to changing administrative and operational requirements as needed.
  • Follow Omni fire alarm procedures and emergency response protocols.
  • Maintain professional appearance in accordance with Omni standards.
  • Report to work as scheduled and comply with Time and Attendance policies.
  • Perform additional duties as assigned by management.
