Provides administrative support to the Dean. May have leadership/office oversight of other clerical employees reporting to the Dean. Requirements

  • Associate's degree or equivalent from 2 year college or tech school
  • 3-5 years related experience

Responsibilities

  • Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by the Program Director.
  • Takes minutes for all Faculty and Advisory Committee meetings.
  • Composes and prepares routine correspondence, memorandums, and other material, as requested by Program Directors.
  • Compiles and files student records and correspondence.
  • Answers telephone and gives information to callers or routes call to appropriate official and places outgoing calls.
  • Schedules appointments for Program Director upon request.
  • Handles students encountering problems and resolves problem or directs student to appropriate person by scheduling an appointment with appropriate Dean and/or Program Director.
  • Greets and directs visitors to Dean and Program Director.
  • Assists as requested, travel schedule, reservations, compiles itinerary and necessary travel forms.
  • Compiles and types statistical reports.
  • Schedules and sets up Advisory Committee meetings as requested.
  • Responsible for programmatic copying.
  • Prepares outgoing mail.
  • Checks and processes requisitions for assigned Program Director. Tracks expenditures, and enters requisitions.
  • Routes payroll notifications for signatures, makes and files copies.
  • Assists with HHS Programmatic workshops and planning luncheons as necessary.
  • Assists Program Director with updating curriculum and program cost information annually for in-house student publications.
  • Enters course schedules college wide into the Colleague system.
  • Advises prospective and current HHS students.
  • Enters faculty contracts into the Colleague system for assigned program faculty
  • Performs other duties as assigned.
