About The Position

Administrative Assistant - Business Office Data Entry Part-time position Schedule: 12 months LAOP Level C - Beginning hourly rate: $18.28 subject to experience Benefits not included Non-exempt Summary: Processes accounts payable and maintains associated vendor and invoice files for the District. Supports the accounting team with reconciliations and reporting. Maintains accurate and systematic financial records for the school district. Essential Duties and Responsibilities: Other duties may be assigned.

Responsibilities

  • Enters vendor invoices accurately into the accounting system.
  • Assists with maintaining vendor files and adding and updating vendor records as needed in financial accounting software and contract database
  • Responds to vendor inquiries regarding payments.
  • Prepares, verifies, and distributes checks; files copies.
  • Process vendor payments weekly: AP, CPA, ACH, and file copies.
  • Assists with annual audit, pulls files as needed for review.
  • Codes online credit card transactions for the business department credit card.
  • Coordinates staff reimbursements for mileage and conference travel expenses.
  • Review credit card statements to ensure complete and valid documentation of charges, proper authorization, and compliance with established business office procedures.
  • Follow up with cardholders for missing or incorrect information.
  • Back-up for entering budget amendments into the accounting system
  • Back-up for entering general ledger transactions into the accounting system.
  • Additional duties as assigned.
