About The Position

The Idaho Department of Environmental Quality (DEQ) is hiring an Administrative Assistant 1 for the Idaho Falls Regional Office.

Requirements

  • Good knowledge of: office support functions including word processing, filing, composing a variety of business documents, reception, gathering and compiling data, and balancing and coordinating a workload for multiple projects.
  • Ability to sit and work on a computer for 2-4 hours at a time.
  • Ability to bend and reach for filing purposes.
  • Ability to lift 30 pounds when working with file boxes.
  • Some travel may be required.
  • Must have a valid driver's license.
  • Occasional travel required.

Responsibilities

  • Offer administrative support for all programs and staff in the region.
  • Answer incoming telephone calls and greet and direct visitors to appropriate staff.
  • Process incoming and outgoing mail and packages.
  • Prepare, proofread, and edit correspondence, documents, reports, and mailings.
  • Complete copy jobs, scanning, and miscellaneous special projects as assigned.
  • Provide administrative review of engineering plans and specifications submittals for completeness.
  • Arrange service, maintenance, and repairs for the vehicle fleet.
  • Assist staff with travel arrangements, travel reimbursements, and purchase card reconciliations.
  • Provide backup administrative duties when other administrative staff is out of the office.
  • Use Microsoft Office products including Word, Excel, and Access.
  • Prepare incoming and outgoing documents using Adobe Acrobat and DEQ's electronic document management system (EDMS).
  • Enter data and quality assurance for drinking water bacteria and chemical lab results using the Safe Drinking Water Information System and EDMS.
  • Maintain vehicle fleet mileage and maintenance reports.
  • Maintain plan and specifications databases.
  • Update, archive, and maintain electronic and hard copy files for all programs using EDMS.
  • Process incoming requests per public information laws.
  • Disseminate, process, and complete records requests punctually.
  • Locate, retrieve, and return files, plans, specifications, and reports.
  • Prepare documents for delivery, which may include scanning, copying, and retrieving from EDMS.
  • Send documents through JustFOIA.
