Office of Clients’ Rights Advocacy (OCRA) DRC has a contract with the Department of Developmental Services (DDS), State of California, to provide Clients’ Rights Advocacy services for clients of each of the 21 regional centers located statewide. That contract funds the Administrative Assistant 1 position. We are a team of zealous advocates and disability generalists who are building a culture of teamwork and working for a world where all disabled people have power, are treated with dignity and respect, and make their own decisions. PURPOSE OF THE JOB The Administrative Assistant I provides efficient, detail-oriented administrative support to the OCRA program. The work environment may be fast-paced and the successful candidate must be highly organized and responsive. The Administrative Assistant I works under the direct supervision of an office manager and in collaboration with other OCRA staff. This position is based in DRC’s downtown Los Angeles office and is eligible for a hybrid schedule working both remotely and in-office. The office is currently located at 888 W. Sixth Street in Los Angeles, California. An Administrative Assistant 1 in good standing may work remotely up to three days per week. The position may require occasional travel to OCRA’s multiple southern California offices to perform job responsibilities.

Requirements

  • High school diploma or general education degree (GED); plus 1 – 2 years related experience and/or training.
  • Able to communicate fluently and write effectively in Spanish, including the ability to interpret and translate.

Nice To Haves

  • Associate degree in a related field from two-year college or technical school; or equivalent combination of experience and training.
  • One year of progressively responsible administrative or secretarial work.
  • Demonstrated ability to read, write, and communicate effectively in English, including correct grammar, punctuation, spelling, and sentence structure.
  • Proficiency with Windows-based computer applications including Microsoft Office and case management software, as well as video conferencing software including Microsoft Teams and Zoom.
  • Effective telephone skills, including the ability to handle challenging situations patiently and tactfully.
  • Ability to understand and carry out oral and written instructions, to work well under pressure and deadlines, and to prioritize and handle multiple tasks, with minimal supervision.
  • Ability to work collaboratively on a team and to be flexible with changing situations.
  • Experience working for non-profit and/or social services organizations.
  • Experience in the disability rights movement and/or extensive contacts in the disability community.
  • Life experience as a person with a disability or direct experience as a caregiver of a person with a disability.

Responsibilities

  • Manage administrative processes.
  • Establish and maintain electronic filing systems.
  • Prepare reports, correspondence, binders, forms, and charts.
  • Process purchase orders and accounting and administrative forms.
  • Ensure documents are accessibly formatted for individuals who use screen reader programs or other assistive technology, including by editing and conducting accessibility audits.
  • Work in-person in DRC’s downtown Los Angeles office a minimum of two days per week and provide onsite support to staff as needed.
  • Conduct inventory and order office supplies.
  • Purchase and maintain office furniture and equipment for multiple office locations throughout California.
  • Coordinate in-person and video meetings and conference calls and assist with facilitation as needed.
  • Make travel arrangements including air, hotel, and ground transportation and complete internal forms necessary to formalize arrangements.
  • Process incoming and outgoing mail and deliveries accurately and dependably.
  • With direction, serve as liaison between units, support services, and building maintenance.
  • Greet clients and respond to telephone calls, directing statewide callers to the appropriate staff or resource.
  • Translate written documents to Spanish and review and revise translations by colleagues to ensure accuracy and clear communication.
  • Provide reasonable accommodation assistance to staff with disabilities.
  • Perform other duties as assigned.
