Position Overview The Administrative & Operations Coordinator plays a key support role across administrative functions, production scheduling, purchasing, receiving, inventory management, and shipping. This position ensures smooth day-to-day operations by maintaining accurate records, coordinating workflows through Bizowie, supporting production and purchasing activities, and providing front-office coverage. The ideal candidate is highly organized, detail-oriented, and comfortable working across multiple departments in a fast-paced manufacturing or production environment.

Requirements

  • High school diploma or equivalent required; additional education or training preferred.
  • Prior experience in an administrative, operations, manufacturing, or production environment preferred.
  • Familiarity with ERP or production management systems (Bizowie experience a plus).
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and priorities simultaneously.
  • Proficiency in basic office software and scanning/document management.
  • Strong communication skills and ability to work collaboratively across departments.
  • Ability to lift and move packages as required for receiving and shipping.
  • Ability to work in both office and shop/warehouse environments.
  • Standing, walking, and light physical activity required throughout the workday.

Responsibilities

  • Handle incoming phone calls and serve as a backup for front-office phone coverage.
  • Answer the front door and greet visitors in a professional manner.
  • Scan inspection photos into designated J Drive SO folders.
  • Close job files by scanning and filing completed documentation in the closed-file area.
  • Assist with entering inventory-related data.
  • Log machining hours accurately and in a timely manner.
  • Monitor and replenish office and break room supply levels.
  • Retrieve and distribute incoming mail daily.
  • Enter new jobs into the production schedule and prepare job files for contract review.
  • Update job dates in Bizowie as provided by managers.
  • Generate packing slips, certifications, and related documentation for completed orders.
  • Update shipped orders in Bizowie and process them for invoicing by Accounts Receivable.
  • Process purchase requests from the machine shop, instrumentation, and production teams.
  • Process items listed on job material sheets for purchasing.
  • Assist with preparing material and hardware quotes.
  • Follow up with suppliers regarding purchase order delivery dates.
  • Physically receive incoming packages, verify packing slips against products, and label items for traceability.
  • Log raw materials accurately.
  • Receive purchased items into Bizowie and scan/attach supporting documents as required.
  • Send daily batch emails of packing slips to Accounts Payable.
  • Deliver received items to Quality Assurance for inspection.
  • Assist with kitting parts for new jobs.
  • Support quarterly inventory counts and reconciliation.
  • Prepare completed jobs for shipment in accordance with customer requirements.
  • Generate shipping labels and documentation for outgoing packages.
  • Maintain a clean, neat, and organized shipping department at all times.
  • Generate product labels for TCs jobs, bulk tubing, and MGO as needed.
  • Perform other duties as assigned to support operational efficiency.
