We are seeking an Administrative and Legal Affairs Coordinator to serve as the centralized legal operations and documentation function for the organization. This role will be responsible for establishing and maintaining disciplined, consistent, and auditable processes for the intake, management, and storage of all legal agreements. The Administrative and Legal Affairs Coordinator will act as the single point of contact and gatekeeper for legal documents, ensuring appropriate review, visibility, and recordkeeping across the business, while providing the company’s de facto General Counsel with full insight into all agreements being executed. This role plays a key part in supporting financial governance, risk management, compliance, and audit readiness as the company continues to scale.

Requirements

  • Paralegal certificate or equivalent legal experience
  • 3–5+ years of experience in a paralegal, legal operations, or contract administration role
  • Strong experience managing contracts in an in-house environment
  • Exceptional attention to detail and organizational skills
  • Experience supporting compliance, audit, or risk management activities
  • Strong written and verbal communication skills
  • High level of discretion and professionalism

Nice To Haves

  • Experience in a finance-led or highly regulated environment
  • Familiarity with internal controls, audit processes, or governance frameworks
  • Experience supporting Sarbanes-Oxley (SOX) controls, documentation, or audit processes (preferred)
  • Experience in hospitality, energy, real estate, or other contract-heavy industries
  • Experience with contract lifecycle management or document repository systems

Responsibilities

  • Serve as the centralized intake point for all legal documents and legal-related requests
  • Manage the full lifecycle of contracts, including NDAs, supplier agreements, vendor contracts, amendments, and renewals
  • Ensure contracts follow established review, approval, and execution protocols
  • Track key contractual terms, execution dates, renewal periods, and obligations
  • Ensure the General Counsel has appropriate visibility into agreements prior to execution
  • Coordinate with external legal counsel on contract reviews, revisions, and execution support
  • Act as a liaison between Finance, Operations, and Legal to support clear communication and alignment
  • Maintain a centralized, organized, and audit-ready repository of all legal agreements and related documentation
  • Support internal and external audit requests by providing accurate and timely legal records
  • Assist in standardizing contract templates, approval workflows, and documentation practices
  • Support compliance initiatives related to corporate governance, internal controls, and risk management
  • Help define, document, and improve legal intake, approval, and recordkeeping processes
  • Identify gaps, inconsistencies, and risks in current legal documentation practices
  • Support the implementation and ongoing use of contract and document management tools
  • Partner closely with Finance to ensure legal processes align with broader internal control frameworks
