This position is 100% onsite and part time working 3 days per week; 8 hours per day.

Requirements

  • 3 years’ experience in AR
  • 1-3 years’ experience in an administrative capacity.
  • Be onsite 3 days per week in Lansdale, PA. A minium of 24 hours per week.
  • Organized, friendly, and be able to handle difficult situations with professionalism.
  • Experience using MS Software and Adobe.
  • Solid proof-reading skills and attention to detail.
  • Be able to multi-task and change direction based on priorities.

Nice To Haves

  • Deltek Vantagepoint experience a plus.

Responsibilities

  • Provide general administrative support: handle incoming calls, process incoming and outgoing mail/shipments, maintain office cleanliness, coordinate with facility manager, schedule meetings, coordinate catering
  • Monitor accounts receivable aging reports and track overdue balances.
  • Conduct collection efforts with customers via email and phone.
  • Resolve customer billing disputes and coordinate with internal departments as needed.
  • Escalate delinquent accounts according to company policy.
  • Maintain accurate customer account records and documentation.
  • Prepare AR reports, including aging reports and collection status.
  • Setup on-going meetings with executive team to update progress on AR.
  • Place inventory orders for office supplies and equipment.
  • Help to maintain timesheet information for specific employees.
  • Create and distribute training cards and certificates.
  • Maintain vehicles and appointments, and monitor usage.
  • Prepare outgoing reports for delivery.
  • Process equipment testing.
  • Facilitate and maintain badges quarterly.
  • Edit/format documents as needed.
  • Order business cards as needed.
  • Distribute internal notifications and recognitions.
  • Assist employees with travel booking – hotels, flights, car rentals as needed.
  • Occasional travel to get lunch, supplies, and deliver equipment.
