Administration Specialist I Overview VCBO Architecture is seeking a reliable and detail-oriented Administration Specialist I to support our design teams and daily office operations. This role plays a key part in keeping projects organized, communication flowing, and office functions running efficiently. Youll collaborate with architects, designers, and staff to assist with project coordination, maintain accurate records, and ensure timely responses to internal and external needs. Requirements

  • High School Diploma required
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) required
  • Strong organizational and communication skills
  • Ability to manage multiple tasks and prioritize effectively in a team environment

Nice To Haves

  • Previous experience in an architecture, engineering, or construction environment is preferred but not required
  • Basic understanding of architectural or construction terminology is a plus

Responsibilities

  • Provide administrative support to design teams and office staff
  • Support project teams by organizing documents, maintaining accurate project data, and keeping internal systems up to date
  • Manage incoming communications, including emails, RFIs, submittals, and phone calls
  • Coordinate quotes, samples, and materials while maintaining an organized materials library
  • Coordinate office logistics, including mail distribution, deliveries, and pickups
  • Maintain accurate records and ensure timely follow-up on requests
  • Provide backup support for reception during absences
