About The Position

The qualified candidate must understand the importance of processing confidential information. Must be able to maintain a complex system of departmental records, reports and databases. Performs a variety of administrative functions. Schedules appointments, gives information to callers, and takes dictation. Composes memos, transcribes notes, and researches and creates presentations. Generates reports, handles multiple projects, and prepares and monitors invoices and expense reports. May assist with compiling and developing the annual budget. Screens and directs incoming phone calls and inquiries. Provides information as well as some interpretation or department procedures. Utilizes Cost Point to process requisitions when receiving purchase requests. Places orders for office supplies. Handles the full cycle process of giving visitors' badges and completing paperwork for badges when necessary. Resolves administrative problems and inquiries. Maintain electronic and hard copy filing system. Has knowledge of commonly-used concepts, practices, and procedures within a particular field. Relies on instructions and pre-established guidelines to perform the functions of the job. Will perform other duties as assigned. Works under immediate supervision. Typically reports to a supervisor or manager. Other Duties as assigned

Requirements

  • High School Diploma or Equivalent
  • At least 2 years administrative experience
  • Ability to operate standard office machines
  • Knowledge of efficient office procedures and recordkeeping practices; standard word processing, spreadsheet, database, and presentation software; e-mail systems; proper English usage, spelling, and punctuation
  • Strong organization skills
  • Microsoft software experience required
  • Must have ability to multi-task and problem solve
