The Receptionist & Administrative Assistant provides high-level administrative and operational support to executives, departments, or business units. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The position may handle confidential information, coordinate complex schedules, and support cross-functional initiatives.

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred
  • 3+ years of administrative support experience
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Strong organizational, time management, and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to work independently and exercise sound judgment
  • Must be flexible and determined to interpret/understand vague and implicit instructions, and reacting positively in dynamic work situations
  • Must be able to make effective decisions in manager’s absence.

Responsibilities

  • Professionally greet and welcome visitors, determine nature of business, allocate them an appropriate space to go to, announce visitors to appropriate personnel
  • Serve visitors beverages, advise them on available facilities in the office, and clean up conference rooms after their meetings in a timely manner
  • Answer incoming telephone calls, determine purpose of calls, and forward calls to appropriate personnel or team. When unable to immediately answer calls, ensure back up support is in place
  • Administrative support for staff including general typing, data gathering, copying, faxing, shredding, filing and updating respective filing logs
  • Placing catering orders for meetings Opening and closing duties which includes stock maintenance and general kitchen housekeeping are completed daily and in a timely fashion
  • General purchasing and maintaining office and kitchen supplies, beverages, stationery, business cards and other necessary items for the office
  • Distribution of incoming mail, packages and faxes
  • Change printer toner cartridges and manage copier performance and supplies
  • Update and maintain contact information for the corporate office
  • Oversight of postage machine charges & refills, shipping and receiving
  • Respond to staff administrative needs: Expense Reports, Slide Deck Updates, & Scheduling/Calendar maintenance.
  • Scheduling meetings, coordinating appointments, and managing the executive’s daily agenda.
  • Booking flights, hotels, and transportation, and preparing travel itineraries.
  • Handling sensitive information with discretion and professionalism.
  • Act as primary back up for Executive Assistants when needed
  • Work harmoniously and professionally with co-workers
  • Maintain a high level of confidentiality
  • Other duties as required
