About The Position

Represents organizational unit on administrative matters. Recommends, interprets, and/or implements company and internal administrative policies and procedures. Performs as a generalist a combination of administrative tasks in such functional areas as finance, human resources, purchasing, research and development. May prepare budgeting, project scheduling, and statistical reports as required. Specific to this position: Provide office management support, including calendar coordination, meeting logistics, administrative coordination, ensuring smooth workflow across leadership and team members e-procurement supply ordering and PO processing, including creation, tracking, and reconciliation of purchase orders in alignment with company procedures Coordinate with vendors and internal teams on procurement requests Financial and invoice Discrepancy Oversee invoice management, including submission, tracking, follow-ups, and resolving discrepancies with vendors and finance teams Support financial auditing activities by maintaining accurate documentation, organizing records, and assisting with data validation Create and maintain executive level financial presentations and reporting materials for leadership reviews, including dashboards, summaries, and forecast visuals Assist with data collection, financial tracking, and forecasting support to monitor budgets, spending trends, and project-related costs Provide project coordination support, including tracking action items, deliverables and timelines Facilitate cross-functional communication between program teams, finance, procurement, and leadership stakeholders Maintain organized digital and physical records to support compliance, reporting, and operational continuity

Requirements

  • Bachelor's Degree and 3 years of relevant exempt experience; Master’s Degree and 1 years of relevant professional experience
  • One of the following may be used as equivalent to Bachelor's Degree to meet minimum qualifications: NNS Apprentice School graduate Navy Nuclear Power School (NNPS) graduate Associate's Degree or other formal 2 year program and 2 years of relevant exempt experience or 4 years of relevant non-exempt experience Military Paygrade E-5 or above military experience High School/GED and 4 years combined of Manufacturing, Shipbuilding, Trades, Military experience or other relevant exempt experience High School/GED and 8 years combined of Manufacturing, Shipbuilding, Trades, Military experience or other relevant non-exempt experience

Nice To Haves

  • Experience supporting project in a fast-paced environment
  • Working knowledge of financial tracking, budgeting support, cost analysis, Power Bi or PPM
  • Familiarity with procurement systems, PO lifecycle management, and vendor coordination
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Proactive problem-solving mindset with high attention to detail
  • Comfortable working independently while supporting cross-functional teams

Responsibilities
