Responsibilities The Administration & Facilities Team is the face and first point of contact at Arrowstreet. We strive to maintain a polished, professional, and courteous reception experience. We are responsible for continuously ensuring that the firm’s administrative operations and workspace are running effectively and efficiently. We are a collaborative, communicative, helpful, and cohesive team. This hands-on role is responsible for coordinating, managing, and completing all Reception/Facilities related tasks including: Responsible for facilitating completion of daily tasks Visitor management Manage workspace requests such as: Facilities repair & HVAC management Catering Management Monitor conference room calendars & resolve conflicts Maintain Outlook calendar for team Order & stock office & kitchen supplies Coordinate all document archiving & shredding services Maintain team data lists in Excel, Confluence and Jira Additionally, the co-op will: Monitor and collect various communications for management review/approval. Assist Administration & Facilities Manager with building security and coordinating emergency safety drills. Assist with annual Administration & Facilities budget. Facilitate and lead various projects to ensure timely completion. Collaborate with Administration & Facilities Manager on day-to-day and ad-hoc projects as needed. Qualifications Please note this role includes hands-on direct experience working in a fast-faced, dynamic environment. Given the nature of this work, this hire should anticipate being in-person at our Boston office 5 days per week.
