Job Summary: The Admin Team Leader plays a vital role in managing the overall front office operations. The Admin Team Leader ensures that we are scheduled to our daily goal and our patients are having an excellent experience. As the Admin Team Leader, you’ll be working closely with both patients and our dental team to ensure that treatment plans are communicated clearly and that patients feel confident and informed throughout their dental journey.

Requirements

  • Experience in dental or medical office management
  • Excellent communication skills, both verbal and written
  • Strong organizational and problem-solving skills
  • Knowledge of dental insurance and treatment plans preferred

Responsibilities

  • Develop treatment plans in collaboration with the dentist
  • Train new team members
  • Communicate treatment options and procedures to patients in an understandable manner
  • Schedule patient appointments and ensure timely follow-up
  • Work with insurance companies to verify coverage and process claims
  • Help patients navigate the financial aspects of treatment, including payment plans
  • Track patient treatment progress and ensure they complete necessary steps
  • Ensure all treatment coordinators are meeting with their doctors.
  • Developing Treatment Plans: You’ll work with the dentist to help create treatment plans, explain these options to patients, and answer any questions they may have.
  • Scheduling Appointments: You’ll ensure that patients are scheduled for the treatments they need, coordinating with the dentist and hygienist to ensure a smooth workflow.
  • Financial Counseling: You’ll help patients understand the financial aspect of their care, including discussing insurance options, payment plans, and out-of-pocket costs.
  • Insurance & Claims: You’ll work directly with insurance companies to verify patient coverage and process claims.
  • Patient Follow-Up: Ensuring patients follow through with their recommended treatments is a big part of your role. You’ll track appointments, remind patients of upcoming visits, and support them throughout their care.
  • Training: Train new hires on phone etiquette, systems, software, policies, and procedures.
