Staffing Specialist: We are seeking a highly organized and proactive Administrative Staffing Specialist to support daily operations within our Gurnee branch . This is an internal role, responsible for coordinating recruiting activities, onboarding employees, maintaining compliance, and ensuring smooth branch operations. This position is ideal for someone who enjoys both administrative work and people interaction - balancing paperwork, systems, and communication with candidates and internal teams. Requirements

  • 1-2 years of administrative, staffing, or office support experience
  • High School Diploma or equivalent
  • Strong organizational and multitasking skills in a fast-paced environment
  • Exceptional verbal and written communication skills
  • High attention to detail and accuracy
  • Proficient in Microsoft Office Suite (Word and Excel)
  • Ability to handle sensitive information with confidentiality
  • Team-oriented with a proactive problem-solving mindset

Nice To Haves

  • Bilingual (English and Spanish) strongly preferred
  • Previous experience in a staffing agency or HR support role
  • Familiarity with applicant tracking systems (ATS) and onboarding processes
  • A self-starter with a professional and polished demeanor

Responsibilities

  • Support daily branch operations, including administrative and staffing functions
  • Answer phones, respond to candidate inquiries, and provide excellent customer service
  • Track attendance, assignments, and onboarding statuses
  • Source, screen, and schedule candidates for open positions.
  • Coordinate onboarding for new hires (I-9 verification, W-4/W-2 forms, background checks, drug screenings)
  • Maintain accurate candidate records in the ATS and internal systems
  • Assist with job postings across job boards and social media platforms
  • Manage job postings across multiple platforms and social media channels to attract qualified talent.
  • Ensure compliance with company policies and employment regulations
  • Assist with data tracking and general office administration
  • Partner with internal team members to meet staffing goals and deadlines
