About The Position

The Administrative Assistant provides administrative and clerical support to the property management team, ensuring smooth daily office operations. This role serves as a primary point of contact for residents, vendors, and board members while maintaining accurate records and supporting communication, scheduling, and reporting needs.

Responsibilities

  • Answer phones, emails, and greet residents, board members, and visitors
  • Provide administrative support to the Property Manager and management team
  • Maintain resident records, files, and databases
  • Assist with preparation and distribution of notices, correspondence, and meeting materials
  • Schedule meetings, appointments, and maintenance access
  • Process work orders, service requests, and vendor invoices
  • Maintain office supplies and equipment inventory
  • Assist with compliance tracking (licenses, insurance certificates, contracts)
  • Prepare reports, spreadsheets, and basic correspondence
  • Support board meetings, elections, and association communications
  • Handle confidential information with discretion
