About The Position

In a career as an Admin Assistant Clinic Operations, you join us in providing life-changing care to patients from across the region. In this role, you will perform administrative secretarial and skilled clerical functions of a confidential nature for the day-to-day operations of outpatient medical clinics.

Requirements

  • High school diploma or equivalent required.
  • One year certificate in secretarial science or related field or a minimum of four years' experience in an office setting required.
  • Ability to type 40 wpm required.

Responsibilities

  • Sets up and maintains administrative files and completes tasks that include purchasing, expense payments, direct payment requests, credit card purchases and reconciliation, physician and other memberships, APRN and PA licenses, time and effort reports, nursing education/training files and special project files.
  • Prepares and submits payroll.
  • Obtains approval and arranges travel for physicians and others.
  • Completes expense reports.
  • Sets up meetings as requested, prepares handout materials if needed and arranges for food and beverages if needed.
  • Answers incoming calls, taking messages, answering questions, and/or forwarding important calls or pages, as needed.
  • Sorts and distributes mail.
  • Orders office supplies.
  • Processes print shop, uniform orders and other orders as directed.
  • Assists in ordering medical, office- and computer-related equipment.
  • Coordinates service and repair calls for outside vendors.
  • Obtains quotes for purchases from outside vendors.
  • Submits maintenance work orders.
  • Prepares various reports, spreadsheets and presentations using software programs such as Microsoft Excel, Word or Power Point.
  • Demonstrates compliance with the mission, vision and values of the organization and the Clinic Service Standards.
