About The Position

Since opening in 1987, New Hope Treatment Centers has provided a welcoming and supportive environment for youth experiencing crisis through a relational approach to behavioral healthcare. The Admissions & Administrative Assistant primarily supports the admissions process for adolescents entering our residential treatment facility while also providing administrative support at the front desk. This role assists with pre-admission activities, including communicating with guardians, collecting required documentation, and scheduling admissions. The position also serves as back-up to the Admission Coordinator and coordinates with Licensed Independent Practitioners (LIPs) to facilitate initial psychiatric evaluations. In addition, the role supports daily front desk operations by greeting visitors, answering calls, and helping maintain a professional and welcoming environment for youth, families, and referring partners.

Requirements

  • High School Diploma
  • Must be at least 21 years of age.
  • 2 years required in Behavioral Health experience.
  • Must be able to pass non violent crisis intervention and wand training.
  • Ability to pass required background checks, drug screening, and any state-mandated employment clearances.
  • Strong interpersonal and communication skills.
  • Ability to manage multiple priorities and maintain organized records.
  • Ability to work independently and as part of a multidisciplinary team.
  • Professional judgment, discretion, and ethical conduct.
  • Proficiency with electronic health records and standard office technology.
  • Work is performed in a behavioral health treatment environment that may involve exposure to emotionally distressed individuals.
  • Ability to sit, stand, walk, bend, twist and use standard office equipment.
  • Ability to respond to crisis situations, which may require quick movement.
  • Ability to lift up to 25 lbs.

Nice To Haves

  • Bachelor’s degree in social or human services from an accredited college or university.
  • Experience with admissions processes, patient intake, or referral coordination in a behavioral health or residential treatment setting.
  • Knowledge of service planning, care coordination, and clinical documentation standards, with an understanding of how these relate to admissions and patient flow.

Responsibilities

  • Respond to online and phone inquiries regarding treatment services and provide general program information to referring sources and families.
  • Manage front desk operations, including answering and routing calls, greeting visitors, and maintaining a professional and welcoming reception area.
  • Manage and distribute incoming deliveries and assist with general administrative tasks.
  • Coordinate and schedule admissions once authorization and approval are obtained.
  • Communicate with parents or guardians to collect required admission documentation and ensure all paperwork is complete prior to admission.
  • Enter admission information accurately into the electronic health record (EHR).
  • Welcome new admissions to the facility and assist with intake and security protocols upon arrival.
  • Facilitate tours for accepted youth and their families.
  • Serve as back-up for the Admission Coordinator, including reviewing admission paperwork with families, ensuring the resident is seen by the clinic and therapist, completing inventory and admission checklists, and sending post-admission communications.
  • Coordinate with Licensed Independent Practitioners (LIPs) to schedule initial psychiatric evaluations.
  • Track and follow up on missing documentation related to referrals or admissions.
  • Maintain professional communication with referring agencies, families, payor sources, and internal departments.
  • Maintain strict confidentiality of Protected Health Information (PHI) and ensure compliance with HIPAA and organizational privacy policies.
  • Coordinates intake meeting (including logistics) with assigned psychiatrist, therapist, case manager and others involved with the admission
  • Updates the admission packet biannually.
  • Assist with ICPC - Send 100Bs to SC ICPC for each admission and discharge. Send the initial ICPC 100A request to SC for any admission in which ICPC was not completed prior to admission for applicable units.
  • Prepares and sends the initial Customer Service Evaluation to stakeholders and LRPs.
  • Prepares and sends follow-up and final Customer Service Evaluations.
  • Perform other duties as needed/assigned by supervisor.
