About The Position

POSITION: Activities Director SUMMARY: Maintains, organizes, and administers the overall program of interscholastic athletics and activities. PURPOSE OF JOB: This 12-month position of Activities Director is for the purpose of directing the athletic program and activities, providing information and serving as a resource to others, achieving defined objectives by planning, evaluating, developing, implementing and maintaining services in compliance with established guidelines; and serving as a member of the leadership team.

  • Master’s Degree or higher in Educational Administration

Responsibilities

  • Assists in the recruitment, selection, and placement of certified, classified, and supplemental activity and athletic personnel
  • Represents the school in matters of interscholastic activities with the MSHSAA
  • Responsible for the organization, scheduling, and publicity of athletic events at the high school, middle, and lower school levels
  • Contracts officials for all home games and confirms the scheduled dates
  • Arranges transportation for ‘away’ contests and makes arrangements for lodging and meals when required
  • Fosters good school-parent relations by maintaining communications relative to rules and regulations on academics, athletics, and annually reviews the athletic policy and coaching staff handbooks
  • Establishes and enforces the physical, academic and training requirements of student eligibility for participation and maintains files to document these requirements
  • Coordinates and schedules the use of all school facilities for interscholastic athletic contests, activities, and use by outside groups. Hires or makes necessary arrangements to provide ushers, parking, security, and other services required for activities or events. Assumes responsibility for assignment of keys, if necessary
  • Assumes responsibility with Upper School Principal oversight, for safekeeping and deposit of gate receipts
  • Establishes procedures for use of the training room
  • Arranges for medical personnel at home varsity athletic contests as needed
  • Schedules equitable utilization of the concession stands
  • Arranges K-12 events planning, Homecoming activities, and pep rallies
  • Schedules fundraising goals each year and works with coaches, fundraising coordinators and principal to implement fundraising efforts
  • Provides assistance to support the general administration of University Academy as deemed appropriate and necessary
  • Coordinates a wide variety of programs and events (e.g., co-curricular activities, sports, etc.) for the purpose of maintaining an active program that promotes sportsmanship and citizenship
  • Supervises coaches, sponsors and others under his/her supervision (e.g., hiring, counseling, training, supervising, evaluating, provided professional development opportunities, etc.) for the purpose of maintaining necessary staffing, enhancing productivity of staff, and ensuring necessary department/program outcomes are achieved
  • Researches a wide variety of topics (e.g., policies, eligibility requirements, current practices, staffing requirements, financial resources, etc.) for the purpose of developing new programs/services, ensuring program compliance with established requirements, securing general information and/or responding to administrative requests
  • Responds to issues involving staff, conflicts in policies and regulations, community concerns, parental requests that may result in some negative impact and/or liability if not appropriately addressed for the purpose of identifying the relevant issues and recommending or implementing a plan of action that will efficiently resolve the issue
  • Ensure all varsity coaches report scores of all varsity sporting events within 24 hours of competition
  • Actively manages information and branding efforts of the athletic department
  • Attends, as necessary, home and away athletic events
  • Serves as the event coordinator for all home athletic events
  • Hires (with principal oversight), supervises and evaluates all athletic supplemental personnel
  • Conducts preseason parent/guardian and coaches meetings
  • Manages with Upper School Principal’s oversight athletic department budget and administers related duties (i.e., pay orders, bids, purchases, payroll, etc.)
  • Assigns and monitors transportation needs for all extracurricular activities
  • Schedules athletic events, including pep rallies, with consultation of administration and coaches
  • Oversees all safety and security procedures including the crisis plan, fire tornado drills in accordance with MSHAA standards
  • Assists in the development of the student handbook and proposed revisions
  • Assists in providing information for parents and students regarding enrollment and school policies
  • Coordinates the beginning of school year enrollment process for collection of activity fees and student orientation
  • Coordinates supervision of student-athletes within the building, on school grounds, and at activity events
  • Coordinates with building maintenance personnel for custodial and maintenance needs
  • Puts in place procedures and processes to ensure every student-athlete receives proper coaching for his/her sport
  • Oversees and maintains inventories of athletic materials and equipment needs
  • Ensures every varsity sport adopts a community service project annually
  • Performs other duties as assigned
