About The Position

The Library Acquisitions and Administrative Assistant is responsible for carrying out administrative, library acquisitions, and office management functions required by Vice President for Library and Information Resources. This role performs acquisitions work, including vendor correspondence, accounting follow-up, order entry, and related tasks. This role also handles administrative work for Doctoral Governance Committee, which is chaired by the VP. This position is on-site 5 days a week, Monday through Friday. Requirements

  • Bachelor’s degree, preferably in music.
  • Knowledge of classical music, including the ability to read music.
  • Excellent oral and written communication skills, as well as the ability to function efficiently within a busy and demanding work environment.
  • Excellent attention to detail.
  • Proficiency with Microsoft Office programs, including Word and Excel.
  • Familiarity with foreign languages.
  • Strong commitment to library service.
  • Demonstrated track record of being reliable and accountable.

  • Previous library experience, particularly with acquisitions functions.

Responsibilities

  • Performs a wide range of acquisitions functions, including vendor correspondence and follow-up, order record entry on library Innovative Interfaces Sierra system, and related tasks.
  • Tracks open orders and follows with up vendors as necessary and on a timely basis.
  • Sorts library mail; opens boxes and checks-in items received.
  • Manages inventory of library office and processing supplies; orders materials as needed.
  • Submits all library invoices via Cadence, including VP Amex expenses
  • Maintains library account information on locally-maintained Excel spread sheet; prepares budget analysis as requested.
  • Performs photocopying, faxing, and scanning, as required.
  • Prepares detailed listings of library gifts and other materials, as required.
  • Packs outgoing shipments of materials, such as interlibrary loans, vendor returns, etc.
  • May perform bibliographic searching of publisher catalogs and related materials as required.
  • Prepare and revise procedure manuals and related documentation, as required.
  • Handles correspondence, student tracking, doctoral committee meeting minutes, and related tasks for C.V. Starr Doctoral program.
  • Perform related duties as assigned to support the School and department operations.
