About The Position

The Accounts Payable/Payroll Specialist I is responsible for accounts payable functions, all payroll functions. Please note that this job description is not exhaustive, and additional duties may be assigned as needed. Eligible for up to $500 Sign-On Bonus

Requirements

  • High school diploma or GED required
  • One (1) year experience in accounts payable, payroll administration, or bookkeeping required
  • Must have proficient computer skills
  • Must be proficient in Microsoft Excel
  • Must be able to use a calculator correctly and efficiently
  • Must be able to problem solve
  • Must be detail-oriented
  • Must have excellent communication skills, proper grammar, and writing capability
  • Must be team-oriented
  • Must be self-directed, highly motivated, able to multi-task, and work under pressure in a fast-paced environment
  • Must be able to accurately and efficiently handle multiple projects at one time
  • Must have exceptional interpersonal skills
  • Must possess a caring, patient, and friendly attitude

Nice To Haves

  • Associate's Degree in Business or Accounting preferred
  • Knowledge of QuickBooks and ADP preferred

Responsibilities

  • Reviews and verifies payroll data in a timely manner, calculates overtime and other pay premiums, and enters payroll data according to practice protocols
  • Enters data for payroll, processes payroll semi-monthly, facilitates and maintains payroll functions (paychecks for staff, payroll changes, W-2 information, PTO, and benefits information)
  • Oversees maintenance of payroll records and files including, but not limited to, PTO and other accrued leave
  • Responds to routine inquiries concerning payroll deductions and accruals, wage garnishments, child support payments, and employment verifications
  • Maintains payroll records in accordance with wage and hour regulations
  • Prepares all payroll related reports
  • Assists with the distribution of checks
  • Prepares manual checks as necessary
  • Assists employees with payroll related questions or concerns
  • Works closely with Human Resources on changes of status for each employee during their employment
  • Ensures compliance with internal fiscal controls and operating procedures
  • Makes appropriate deductions for benefit plans
  • Prepares all vouchers and approves all invoices for payment
  • Processes all company payments in a timely manner
  • Interfaces with appropriate departments to secure proper payment approvals
  • Prepares accounts payable checks
  • Maintains account payable files and records
  • Responds to all vendor and employee inquiries regarding invoices, expenses, and check requests
  • Resolves invoice discrepancies
  • Processes and oversees expense reimbursement and recording
  • Prepares and prints accounts payable reports
  • Reviews and reconciles periodic accounts payable reports
  • Prepares invoice deduction notices as required
  • Properly analyzes and tracts accounts payable amounts; prepares analysis of accounts as required
  • Maintains the strictest confidentiality at all times related to payroll/reconciliation issues
  • Maintains proper standards of productivity as defined by the Controller

  • Exhibits professional demeanor with a positive enthusiastic attitude at all times when representing the practice
  • Maintains certification, where applicable, and continues to improve skills
  • Must attend all in-services and webinar training seminars as directed by the Comptroller
  • Provides input on how to improve customer service, decrease costs, and increase revenues for the practice
  • Supports the practice core values and mission statement to develop, enhance, and promote quality customer service through team effort
  • Exhibits flexibility, sensitivity, and respect while maintaining an effective working relationship with all team members
  • Maintains practice confidentiality, follows HIPAA/OSHA guidelines, and follows the rules and regulations of the practice as documented in the practice employee manual
