About The Position

The Nebraska Department of Education is hiring an Office Associate! Support the Office of Accreditation, Certification, & Approval by providing vital administrative, technical, and collaborative assistance that keeps operations running smoothly and ensures accreditation processes are accurate, efficient, and compliant. We're seeking candidates with strong customer service and communication skills who can effectively collaborate with colleagues and higher education stakeholders across Nebraska. Office Location: This position is assigned to our office located at 84th & O St, Lincoln, NE.

Requirements

  • High school diploma or equivalent and three years of experience related to the essential functions of the position.
  • Any equivalent combination of education and/or work experience may be substituted in order to meet the minimum qualifications of the position.

Nice To Haves

  • Postsecondary degree (or credential) in office management, administrative assistant, or related fields.
  • Experience with accounting and record keeping principles and practices, and web page management.
  • Proficiency with Microsoft Office Suite to include Access.

Responsibilities

  • maintains daily operations of the office including directing and answering phone calls and inquiries.
  • Performs administrative duties and accounting work including preparing, maintaining, and processing financial records and documents, paying invoices, and submitting accounts payable information into the State of Nebraska accounting system and other accounting systems.
  • Processes expense reimbursements, payments, purchase requests, travel requests, and other staff documents.
  • Assists with planning and conducting meetings, workshops, and supporting activities by coordinating logistics including travel, registration, equipment, food, lodging, and contracts as well as payments for vendors and participants.
  • Processes and routes contracts for office workshops, meetings, speakers, and staff.
  • Maintains databases and spreadsheets for record retention and the dissemination of data.
  • Maintains filing system processes including following records retention guidelines. Performs audits on filing systems to ensure necessary components are included.
  • Designs and organizes forms, brochures, presentations, reports, summaries, and other mailings for conferences, meetings, and workshops.
  • Manages internal and external webpages as well as Google Drive documents.
  • Maintains the office in absence of professional staff, processes mail, maintains subscriptions and office supplies, and manages physical storage space and inventory.
