The Accounts Receivable Specialist is a key member of the Finance and Administration Department, primarily responsible for managing cash and merchant receipt postings, maintaining accounts receivable records, and executing related general ledger entries. This position supports both Fire Fighter Sales & Service Co. and All Lines Technology, Inc and ensures accuracy and timeliness in financial transactions. In addition to core accounting duties, the specialist will assist with general administrative tasks as needed to support departmental operations.

  • Accurately record and apply all cash receipts in the GP (Great Plains) system daily basis, including processing credit card transactions.
  • Maintain and monitor customer account aging; coordinate with internal departments to ensure prompt invoice payment.
  • Manage customer accounts by issuing and recording debit/credit memos, processing refunds, and handling authorized write-offs
  • Deposit checks using a scanner and verify transactions through the online banking system.
  • Conduct collections and follow up with customers via phone, fax, or written communication.
  • Perform month end reconciliations and sales analysis.
  • Open, sort and distribute incoming mail.
  • Answer and appropriately route inbound phone calls.
  • Provide administrative and interdepartmental support as needed.
  • Attend and contribute to departmental and company-wide meetings.
  • Associate Degree in Accounting or equivalent relevant experience in accounts receivable or a related field.
  • Proficiency with enterprise accounting/ERP systems (e.g. Microsoft Dynamics, GP).
  • Strong Knowledge of Microsoft Office Suite, especially excel, word, and outlook.
  • Customer service experience with strong verbal and written communication skills.
  • Ability to work collaboratively across departments and communicate effectively with customers and vendors.
  • Exceptional attention to detail and a high level of organization.
  • Strong problem-solving skills and the ability to manage multiple priorities effectively.
