About The Position
The Accounts Receivable Specialist at Vaco plays a crucial role in managing the accounts receivable process, ensuring timely collection of payments, and maintaining accurate financial records. This position involves a variety of responsibilities that contribute to the overall financial health of the organization. The specialist will be tasked with reconciling credit card payments from both wholesale and direct customers, which is essential for maintaining accurate financial records. Additionally, the role requires initiating collection efforts for wholesale customers to ensure that payments are received promptly, thereby supporting the company's cash flow needs. In this position, the Accounts Receivable Specialist will also process miscellaneous cash receipts and perform various general accounting and administrative duties. These duties include answering phones, preparing correspondence, updating lists and reports, and performing data entry functions. The specialist will be responsible for filing, copying, scanning, and faxing documents as needed. Furthermore, the role involves processing sales tax returns, initiating and recording payments, and entering Avalara SST payments into Natural Payables. Resolving sales tax disputes with state tax agencies is also a critical aspect of this position. The specialist will reconcile daily PayPal payments, refunds, and order imports, ensuring that all transactions are accurately recorded. Additionally, the role includes reconciling wholesale allowances and recording credit memos within the accounts receivable module. A key responsibility of the Accounts Receivable Specialist is to lead monthly accounts receivable review discussions with the Sales team, fostering collaboration and communication between departments to address any outstanding issues and improve processes.
