About The Position

As an Accounts Receivable Assistant, you will play a crucial role in maintaining financial stability by managing customer inquiries, handling accounts receivable tasks, and supporting administrative functions. You will be the point of contact for customers seeking service, ensuring their needs are addressed and directing them to the appropriate personnel. Your role involves downloading and emailing invoices, following up on payments, resolving conflicts, and contacting customers regarding past due invoices. Also, you will manage package reception, verify technician time, create warranty part orders, and perform basic administrative duties.

  • Knowledge in invoicing, collection, and reconciliation.

Responsibilities

  • Answer phones to address customer service requests, alleviate concerns, and direct calls appropriately.
  • Handle accounts receivable tasks such as downloading and emailing invoices, following up on payments, and resolving conflicts.
  • Contact customers via telephone to discuss past due invoices and conduct thorough invoice research.
  • Receive and label packages accurately.
  • Verify technician time on Mondays to ensure accuracy.
  • Create warranty part orders efficiently.
  • Perform basic administrative duties and communicate effectively with supervisors, managers, and technicians.
  • Utilize ERM system (Alliance) and payroll systems (ADP, transitioning to Workday).
  • Frequently use Excel and MS Teams for tasks.
  • File documents electronically.
