  • Checks and approves vendor invoices for payment.
  • Prepares invoice deduction notices as necessary.
  • Audits freight bills against freight manifests.
  • Answers vendor inquiries.
  • Prepares accounts payable checks.
  • Maintains accounts payable files.
  • Prepares analysis of accounts as required.
  • Processes batches of shipping tickets for customer invoicing daily.
  • Obtains and mails invoice copies for customers as requested.
  • Prepares daily cash deposits and fills out cash control sheet daily.
  • Processes daily credit card deposits.
  • Files check stubs and bank receipts.
  • Researches and processes customer claims of invoice payment.
  • Researches and processes charge backs, returns, and bad checks.
  • Answers accounts receivable phone inquiries and follows up.
  • Calls and/or mails correspondence to customers as necessary to update accounts.
  • Assists in monthly closings.
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Performs clerical duties as needed, such as document scanning, filing, photocopying.
  • Effectively communicates by verbal and written means with customers, employees, and management.
  • Maintains and promotes safety awareness; follows safety policies, procedures, and reporting requirements.
  • Presents a clean and professional appearance.
  • Performs all other duties as directed by supervisor.
  • High school diploma or equivalent.
  • Experience in accounts receivable and accounts payable processes.
  • Strong attention to detail and accuracy in financial transactions.
  • Ability to communicate effectively both verbally and in writing.
  • Proficient in using office equipment and software, including spreadsheets and accounting software.
  • Previous experience in a clerical or administrative role.
  • Familiarity with agricultural or propane industry accounting practices.
