Requirements

  • High School Diploma required.
  • Associate's degree or higher in Accounting preferred.
  • Minimum of 3 years of experience in accounting; supervisory/team led experience helpful.

Responsibilities

  • Lead and manage daily operations of the AP team to ensure timely and accurate processing.
  • Assign tasks based on workload and skill level, ensuring balanced distribution and accountability.
  • Manage time off requests to meet workload demands.
  • Conduct regular check-ins with team members.
  • Foster a collaborative and supportive team environment through coaching and performance feedback.
  • Provide input and recommendations to AP Manager on hire/fire decisions and annual performance management process.
  • Follow a structured workflow with appropriate documentation and audit trails for invoice and payment processing.
  • Validate invoice coding and payment timing using ERP systems.
  • Maintain segregation of duties and escalate anomalies promptly.
  • Perform hands-on invoice and payment processing duties on a limited basis if needed to support the team.
  • Perform regular audits of AP transactions.
  • Collaborate with Finance to reconcile AP subledger and prepare any necessary entries.
  • Ensure adherence to internal controls, company policies, and audit requirements.
  • Maintain documents for SOX or internal audit reviews.
  • Respond to inquiries within defined SLA timelines (e.g., 24-48 hours).
  • Investigate root causes of discrepancies and implement corrective actions.
  • Document resolutions and communicate clearly with vendors and internal stakeholders.
  • Identify and implement process improvements to enhance efficiency and accuracy as the AP function becomes centralized across the organization.
  • Encourage feedback and track improvements.
