Job Summary: The Accounts Payable Specialist is responsible for ensuring timely and accurate processing of invoices, payments, expense reports and vendor records for Shannon and Wilson. They will also be a backup for our Payroll Coordinator.

Requirements

  • Associate or bachelor’s degree in accounting or finance preferred. Education may be considered in lieu of years of experience.
  • 8+ years’ accounting experience to include accounts payable, accounts receivable, and payroll.
  • Prior experience with BST or comparable ERP system.
  • Demonstrated experience in payroll administration, including data entry, audits, and compliance with federal and state regulations.
  • Project accounting experience a plus.
  • Proficiency in Microsoft Office.
  • Strong attention to detail, organizational skills, and ability to meet deadlines.
  • Ability to interact with all levels of employees across the company as well as outside contacts, so professionalism, judgment and excellent communication and consulting skills are required.
  • Excellent writing, organizational, and communication skills.
  • Personable, flexible, and professional demeanor.
  • The ability to work independently with the appropriate level of supervision.
  • Frequent sitting, standing, and walking (with or without accommodation).

Responsibilities

  • Responsible for overseeing the end-to-end AP cycle, maintaining controls, and leading month-end activities
  • Provides accuracy, policy compliance and timeliness in the day-to-day administration of accounts payable.
  • Codes invoices, vouchers, expense reports, check requests, etc., with correct codes conforming to standard procedures to ensure proper entry into the financial system.
  • Ensure adherence to vendor payment terms and company policy.
  • Manage team mailboxes daily and ensure email responses are completed within 48 hours.
  • Support audits and provide required documentation.
  • Build and maintain strong, positive internal and external relationships and resolve complex payment issues.
  • Work collaboratively with employees at all levels to detect issues and implement agreed upon solutions relating to system and transaction discrepancies.
  • Update and maintain documentation of processes and procedures. Utilize accounts payable best practices to design, develop and implement processes, procedures and training.
  • Analyze new laws, proposed laws and regulations that govern accounts payable and related processes and implement process changes to improve efficiency.
  • Follow Shannon & Wilson’s Quality Assurance policy
  • Follow and promote Shannon & Wilson’s Health & Safety and Loss Prevention policies and procedures
  • Provide backup to our Payroll Coordinator
