About The Position

We are seeking a detail-oriented and dedicated Accounts Payable Specialist to manage vendor and subcontractor accounts, process invoices, and ensure accurate job costing. This position requires proficiency in financial software and the ability to work closely with project managers to resolve any invoicing issues.

Requirements

  • Proficiency in accounts payable and invoice processing.
  • Experience with data entry and cash receipts.
  • Familiarity with the construction industry.
  • Intermediate level of accounts payable experience.
  • 3 to 4 years of accounts payable experience.
  • Working experience within the construction industry.

Responsibilities

  • Set up new vendors, subcontractors, and customers in the Viewpoint software.
  • Utilize Avid Exchange to process invoices after project managers have approved and coded them.
  • Manage material invoices, including equipment rental coding linked to monthly billing.
  • Handle cash receipts by retrieving checks from owners, posting them, and distributing payments appropriately.
  • Ensure accurate job costing and address any discrepancies by coordinating with project managers and vendors.
  • Collect Certificates of Insurance and issue W9 forms to new vendors.
  • Manage credit card transactions using a customized system, including data retrieval and payment processing.
  • Collaborate with the CFO and participate in audit processes.
  • Process thousands of transactions monthly, with potential for volume increase during busy periods.
  • Review vendor statements for accuracy and completeness.
