About The Position

The Accounts Payable Specialist at GEM Property Management is responsible for managing the accounts payable and accounts receivable functions for various property associations. This role involves processing payments, coding invoices, performing bank reconciliations, and assisting with financial reporting and budgeting. The position requires a detail-oriented individual who thrives in a fast-paced environment and is comfortable with technology.

Requirements

  • Bachelor's degree in Accounting or related field.
  • Minimum of 2 years of experience in bookkeeping or related field.
  • Proficient in Microsoft Excel and Microsoft Office Suite.
  • Experience with accounting software and property management software (Vantaca is a plus).
  • Strong organizational skills and ability to prioritize tasks effectively.
  • Knowledge of financial concepts and GAAP principles.
  • Familiarity with general ledger accounting and account reconciliation.
  • Understanding of double-entry bookkeeping principles.

Nice To Haves

  • Experience with Vantaca property management software.

Responsibilities

  • Complete and manage accounts payable and accounts receivable functions for each Association.
  • Receive and process monthly maintenance fee payments from owners.
  • Correctly code and pay invoices for each Association.
  • Perform bank reconciliations.
  • Assist with setting up accounts on autopay.
  • Support property managers in various ad-hoc projects and tasks.
  • Onboard new vendors with payables process, collecting W9s for 1099s.
  • Assist collection attorney with past due homeowner accounts.
  • Assist with the preparation of monthly financial statements and reports for each Association.
  • Assist with month-end and year-end closing processes.
  • Prepare and process journal entries.
  • Assist with year-end budgeting for each Association.
  • Prepare and send information to CPA for annual audits.
