About The Position

The Accounts Payable Assistant supports the AP team by accurately processing invoices, expense reports, and payments while ensuring proper coding and timely resolution of discrepancies. We’re looking for someone who: ? Holds a bachelor’s degree in Business or Finance (Accounting preferred) ? Has 2+ years of progressive accounting or accounts payable experience ? Understands generally accepted accounting principles (GAAP) ? Is highly detail-oriented, professional, and ethical ? Communicates effectively and can resolve invoice or vendor issues ? Is proficient in Microsoft Office, especially Excel ? Works independently, manages deadlines, and performs well under pressure ? Can learn new systems and processes with minimal supervision ? (Preferred) Has inventory management or agriculture accounting experience ? (Preferred) Is bilingual in English and Spanish ? (Preferred) Has experience with Famous or similar accounting systems

Responsibilities

  • Enter, code, and process invoices, expense reports, and check requests
  • Manage vendor correspondence and resolve invoice or purchase order discrepancies
  • Assist with payment runs, including ACH and check processing
  • Ensure invoices are properly authorized and matched to purchase orders
  • Organize payment documentation, scan invoices, and prepare checks for mailing
  • Respond to internal and external inquiries regarding account status
  • Perform administrative tasks such as filing, copying, and document preparation
  • Manage office supply inventory and place orders as needed
  • Back up daily banking activities and support ad hoc projects
  • Perform additional duties as assigned by the Accounts Payable Supervisor
