Requirements

  • Bachelor’s degree in Accounting, Finance, Business, or a related field preferred.
  • Minimum 2 years in a centralized Accounts Payable function.
  • Proficiency with ERP systems (Great Plains or MS Dynamics GP preferred).
  • Strong Excel skills and proficiency with Microsoft Office (Outlook, Word, Teams).
  • Ability to analyze data, document workflows, and support system testing.
  • Strong communication, organizational, and problem‑solving skills.
  • High attention to detail and accuracy.
  • Ability to lead through change and support staff during transitions.

Nice To Haves

  • Prior supervisory or team lead experience preferred.
  • Experience supporting or participating in an accounting/ERP system implementation strongly preferred.

Responsibilities

  • Supervise daily AP activities such as invoice review, coding verification, approvals, voucher processing, and payment runs in MS Dynamics GP accounts payable database.
  • Maintain accurate and compliant vendor records, including required documentation (e.g., W‑9 forms, Vendor Maintenance Forms).
  • Oversee exception handling including voids, reissues, duplicate payments, and vendor inquiries.
  • Ensure check controls, positive pay, and audit documentation requirements are consistently followed.
  • Perform the AP month-end close process.
  • Support staff development throughout the state of Illinois by reinforcing best practices and providing ongoing training.
  • Work closely with Finance, Programs, Procurement, IT, and vendors to resolve issues and improve coordination, including providing recommendations on payment cycle and policy points.
  • Provide direct supervision, training, support, review, and evaluation for AP staff.
  • Responsible for month-end journal entry preparation and approvals.
  • Responsible for balance sheet reconciliation preparation and approvals.
  • Ensure AP processes follow internal fiscal policies, audit standards, and segregation-of-duties requirements.
  • Support annual audits by preparing schedules, collecting documentation, and responding to inquiries.
  • Demonstrate professional, positive behavior and carry out responsibilities with integrity, treating clients, families, other LSSI workforce members, and collaborative organizations and/or individual in a dignified, respectful, honest, and fair manner.
