JOB PURPOSE AND SUMMARY Analyze information, maintain complete and accurate records, and assist with routine accounting duties. Provide efficient, reliable support to accounting department members, other departments, and external parties.

Requirements

  • 3+ year experience in GL and AP accounting functions (Based on general knowledge).
  • Prior experience using QuickBooks required (Based on general knowledge).
  • College degree ideal however not required; diploma with equivalent experience preferred (Based on general knowledge).
  • Strong organizational skills with a commitment to accuracy (Based on general knowledge).
  • Effective communication skills and a collaborative mindset (Based on general knowledge).

Responsibilities

  • Process accounts payable (AP) transactions, ensuring accuracy and timeliness (Based on general knowledge).
  • Assist with general ledger (GL) entries, reconciliations, and month-end closing activities (Based on general knowledge).
  • Maintain and organize financial records for easy retrieval and audit readiness (Based on general knowledge).
  • Support team members with day-to-day accounting tasks and collaborate on departmental projects (Based on general knowledge).
  • Process incoming wire transfer.
  • Assist with preparation for annual audit documents.
  • Ensure compliance with internal accounting procedures.
  • Maintain accurate records, including ledgers, journals, receipts, and invoices.
  • Open inward mail, match vendor invoices against proper documentation for inventory purchases, Seed Productions, Stock Seeds, operational invoices, etc. and resolve discrepancies between receivers & invoices. Obtain management approvals where required.
  • Utilize QuickBooks for data entry, reporting, and transaction management (Based on general knowledge).
  • Communicate with vendors and internal stakeholders regarding invoice discrepancies or payment statuses (Based on general knowledge).
  • Obtain and reconcile Credit Card employee receipts with credit cards statements. Follow up with employees as needed.
  • Process employees’ business travel/expense reports for their reimbursements.
  • Maintain W-9s and request them when needed.
  • Ensure compliance with health and safety standards, programs and industry codes in accordance with federal, county and state agencies (CCR Title 8, EPA, RCRA, CERCLA, NFPA, and FDA) and regulations.
  • Perform other duties and responsibilities as required or assigned by the supervisor.
