About The Position

The Accounting & HR Assistant will provide administrative support to all functional areas of Accounting and Human Resources, including accounts payable, payroll, onboarding, offboarding, benefits, recruiting, training and general department functions.

Requirements

  • Proficient in Microsoft Office Suite.
  • Previous accounting, human resources, and/or data entry experience.
  • Ability to meet established deadlines.
  • Excellent organizational skills and attention to detail.
  • Ability to maintain confidential information.
  • Ability to adapt to a fast-paced environment.
  • Excellent communication skills.
  • Must be legally authorized to work in the United States without the need for employer sponsorship, now or any time in the future.

Nice To Haves

  • Experience with Deltek Costpoint, BambooHR, and/or Employee Navigator.

Responsibilities

  • Entering accounts payable vouchers.
  • Reviewing and approving expense reports.
  • Reviewing timecards for semi-monthly payroll processing and following up with employees and managers when timecards need to be corrected or submitted.
  • Preparing 401(k) and HSA submission files.
  • Supporting the Accounting and Human Resources departments with onboarding functions including employee profile set up in Costpoint, Bamboo and Employee Navigator, processing new hire paperwork and benefit enrollments, and ID badge creation.
  • Supporting the Human Resources department with administrative offboarding functions.
  • Monitoring department email inbox and sending instructions to employees for timesheets, expense reports, etc.
  • HRIS data entry including benefit changes, status changes, and pay rate adjustments, and compiling reports from the database as needed.
  • Maintaining and monitoring annual training and certification due dates, sending reminders to employees and managers, and ensuring compliance.
  • Posting jobs on state veteran sites.
  • Assisting with annual Affirmative Action Plan data preparation.
  • Filing documents in personnel files, ensuring accuracy, compliance with all applicable laws and confidentiality.
  • Other related duties as assigned.
