About The Position

San Diego Refrigeration, a Paradigm Mechanical Corp. company, is a growing HVAC/R contractor known for reliability, responsiveness, and strong customer relationships. As our service operations continue to expand, we’re looking for a detail-oriented Service Accounting & Dispatch Support Coordinator to help keep our service department running efficiently and accurately. This role is ideal for someone who enjoys organization, accuracy, and process, with the ability to step in and support dispatch when needed. Position Overview This position focuses primarily on service accounting and administrative support, ensuring service jobs are properly documented, processed, and ready for billing. The role also serves as backup support to dispatch, assisting with work order creation, scheduling coordination, and customer communication during peak times or absences.

Requirements

  • High school diploma or equivalent
  • Previous experience in service accounting, dispatch, AP/AR support, or office administration preferred
  • Strong attention to detail and accuracy
  • Comfortable working with data entry, systems, and documentation
  • Proficiency with Microsoft Excel and Outlook; accounting or dispatch software experience is a plus
  • Ability to manage multiple priorities in a fast-paced environment
  • Reliable, organized, and proactive

Responsibilities

  • Prepare and assist with service invoicing to ensure timely and accurate billing
  • Support service invoice collections, including follow-up on outstanding balances and coordination with customers
  • Review service work orders for completeness (labor, notes, materials, receipts, signatures)
  • Perform timecard data entry and review, coordinating with dispatch and technicians for accuracy
  • Monitor GPS tracking to support timecard validation and job tracking
  • Assist with accounts payable (AP) data entry related to service operations
  • Maintain organized digital and physical service job files
  • Support job cost accuracy by coordinating with dispatch, technicians, and accounting
  • Create and maintain service work orders in ServiceBridge, ensuring all required information is entered
  • Monitor dispatch emails, answering service messages, and third-party portals; assist with follow-up and job creation
  • Back up lead dispatcher with technician scheduling and rescheduling during peak periods or absences
  • Provide job status updates to customers and warranty providers
  • Coordinate site access, roof access, permits, and other job-specific requirements
  • Assist with preventative maintenance (PM) tracking and service contract administration
  • Maintain accurate service records and documentation
  • Identify process gaps and help improve service accounting and dispatch workflows
  • Collaborate closely with service management, dispatch, and accounting teams
