About The Position

This position will function as an Accounting Coordinator of Grants. Prepare and review journal entries related to grant activity, cost allocations, and other financial transactions to ensure accurate recording. Support budget development, monitoring, and analysis, including grant budgets and amendments, ensuring alignment with funding sources and program requirements. Assist with indirect cost processes, including cost allocation methodologies and support for indirect cost rate proposals or negotiations, as applicable. Prepare audit schedules and supporting documentation and serve as a liaison during internal and external audits, particularly related to federal grants and SEFA reporting. Provide technical guidance to program staff regarding grant financial requirements, allowable costs, reporting deadlines, and documentation standards. Participate in continuous improvement of fiscal and grant-related processes, systems, and internal controls. The Accounting Coordinator is responsible for coordinating and overseeing a variety of accounting functions within a department. This includes managing financial records, supporting budgeting processes, preparing reports, ensuring compliance with regulations, and coordinating with other departments to ensure efficient and accurate financial operations. The position is responsible for providing guidance and support to accounting staff and assisting management in making informed financial decisions.

Requirements

  • Proficiency in preparing and analyzing financial statements, SEFA schedules, budget reports, and grant-related financial summaries.
  • Strong understanding of federal grant accounting, reporting requirements, and compliance standards.
  • Experience with indirect cost allocation and/or indirect cost rate development or negotiation.
  • Solid knowledge of accounting principles, financial reporting, and budgeting processes.
  • Ability to analyze financial data, identify trends, and provide actionable insights for decision-making.
  • Proficiency in managing accounts payable and receivable processes and verifying financial transactions.
  • Understanding of state and federal financial regulations and ability to ensure adherence to these standards.
  • Advanced proficiency in accounting software (e.g., PeopleSoft, QuickBooks, Microsoft Excel) and other financial management tools.
  • A Bachelor’s degree in Accounting, Finance, Business Administration, or a related field from an accredited college or university, plus 3 years of accounting experience.

Responsibilities

  • Oversee the preparation and maintenance of financial records, ensuring the accuracy and completeness of all accounting transactions.
  • Coordinate the preparation of monthly, quarterly, and annual financial reports, ensuring compliance with state regulations.
  • Coordinate accounts payable and accounts receivable processes, ensuring accuracy, timeliness, and adherence to policies.
  • Ensure that all financial processes and transactions comply with applicable state, federal, and departmental regulations.
  • Provide oversight and guidance to junior accounting staff, ensuring proper training and adherence to accounting procedures and policies.
  • Work with auditors to provide necessary information and respond to audit inquiries.
