About The Position

EJF Real Estate Services is seeking an Accounting Compliance & Special Projects Manager to coordinate and execute a high volume of time-sensitive, compliance-driven accounting deliverables across our community association portfolio. This role supports the end-to-end execution of regulatory filings, tax compliance coordination, audit support, annual reporting, and select cross-functional accounting initiatives—many of which have statutory deadlines. The ideal candidate is highly organized, comfortable managing multiple parallel timelines, and motivated by building clear trackers, documentation, and repeatable workflows that reduce rework and risk.

Requirements

  • 3+ years in accounting operations, compliance, audit/tax coordination, or a similarly deadline-driven environment
  • 2+ years of people leadership experience
  • Proven ability to manage high-volume, high-consequence workflows
  • Strong organizational, project management, and follow-through skills
  • Clear and confident communicator with internal teams and external partners

Nice To Haves

  • Experience in HOA, condo, co-op, or property management accounting
  • Familiarity with multi-state and DC-area regulatory environments
  • Experience with Vantaca or similar property/accounting platforms

Responsibilities

  • Regulatory, Tax & Filing Compliance Coordinate required federal, state, and local tax and compliance filings for assigned associations, partnering with external auditors/tax preparers.
  • Manage the compliance workflow: collecting inputs, coordinating review, preparing approval packages, and supporting filing and payment processing.
  • Maintain filing calendars, deadlines, and documentation standards to ensure on-time completion.
  • Perform reasonableness/QA checks on completed returns prior to leadership approval.
  • Track and help resolve tax notices, discrepancies, and reinstatements in coordination with preparers and agencies.
  • Ensure accurate recordkeeping and documentation across company systems.
  • Government Portals, Registrations & Access Support setup and maintenance of required tax and regulatory portals and access controls.
  • Assist with onboarding associations into federal and state systems and required registrations.
  • Coordinate power-of-attorney/authorization workflows as needed for leadership signature.
  • Payments, Allocations & Special Compliance Items Coordinate tax-related payments and special compliance items, ensuring approvals are obtained per policy.
  • Track real property tax payments and monitoring for applicable associations.
  • Support reviews of allocations, prorations, and true-ups; coordinate with accounting teams for accurate posting and documentation.
  • Budget Cycle & Annual Execution Support Support accounting components of the annual budget cycle and related initiatives.
  • Maintain budget templates, formulas, and fee structures; flag issues for review.
  • QA draft budgets for internal consistency and coordinate issue resolution prior to approval.
  • Confirm approved budgets and fee updates are entered correctly into systems.
  • Audit Support & Coordination Coordinate annual audit workflows for assigned associations, including timelines, request lists, and status tracking.
  • Support engagement letter processing, data requests, draft coordination, and audit adjustment tracking.
  • Ensure audit adjustments are routed for approval and entered accurately once approved.
  • Maintain clear audit status reporting for accounting leadership.
  • Onboarding & Offboarding Execution Support Support accounting execution for association onboarding/offboarding, including GL mapping, banking data review, balance imports, and Day-1 verification.
  • Coordinate clean handoffs of financial data and records during transitions.
  • Track final reconciliations, closures, and administrative charges to completion.
  • Process, Tracking & Continuous Improvement Build and maintain trackers, calendars, checklists, and QA controls to improve visibility and reduce last-minute escalations.
  • Document recurring processes and support training/knowledge transfer to reduce key-person dependency.
  • Identify bottlenecks and propose incremental improvements; partner with leadership on broader changes.
  • Provide consistent status updates to accounting leadership.
  • Decision Authority & Escalation Executes routine workflow steps and prepares approval-ready packages for filings and payments in line with policy.
  • Escalates exceptions, disputes, or potential exposure promptly to the Controller/CFO.
  • Serves as a key point of coordination for compliance-related accounting items, working closely with accounting leadership.
  • Team Leadership & Process Improvement Lead and develop a team responsible for recurring compliance deliverables and special projects.
