About The Position

The Accounting Clerk supports the nonprofit’s mission by performing payroll and accounts payable functions with accuracy, integrity, and compliance. This position is responsible for processing employee payroll, processing vendor payments, maintaining financial records, and supporting compliance with applicable laws, grant requirements, and internal controls. The Accounting Clerk plays a key role in ensuring responsible stewardship of the organization’s financial resources and supporting staff who deliver programs and services to the community.

Requirements

  • Associate degree in business, accounting, or related field.
  • Minimum of 2 years of experience in payroll, accounts payable, or general accounting (nonprofit experience preferred)
  • Working knowledge of payroll processes
  • Experience with accounts payable procedures
  • Familiarity with basic accounting principles
  • Experience using accounting and payroll software
  • Proficiency in Microsoft Excel and other Microsoft Office applications
  • Strong attention to detail; ability to identify and resolve discrepancies.
  • Commitment to accuracy and adherence to procedures.
  • Ability to maintain strict confidentiality of financial and personnel information.

Nice To Haves

  • Experience with grant-funded or multi-program accounting
  • Experience using Web Grants, Paylocity, and Blackbaud.
  • Experience supporting audits
  • Familiarity with nonprofit accounting and restricted funds

Responsibilities

  • Process regular payroll cycles (semi-monthly) accurately and on time
  • Review and verify employee timesheets, leave balances, and pay adjustments
  • Maintain employee payroll records, including new hires, terminations, pay rate changes, and deductions
  • Respond to employee inquiries regarding pay, deductions, and payroll procedures
  • Assist with year-end payroll activities, including W-2 preparation and reconciliation
  • Prepare, reconcile and remit employee deductions withheld on a timely basis
  • Process vendor invoices, employee reimbursements, and credit card transactions in a timely manner
  • Review invoices for accuracy, proper approvals, and compliance with organizational policies and funding requirements
  • Code expenses accurately to general ledger accounts, programs, cost centers, and grants
  • Prepare and process payments via check, ACH, or other approved methods
  • Maintain vendor files, including W-9s and payment terms
  • Prepare Sales and Use Tax form
  • Respond to vendor and staff inquiries regarding payments and invoice status
  • Assist with payroll and expense allocations across multiple programs, grants, and restricted funding sources
  • Support month-end close activities, including reconciliations related to payroll and accounts payable
  • Support audits and grant reporting by preparing documentation and responding to requests
  • Maintain accurate financial records in accordance with internal controls and best practices
  • Work closely with Accounting, Human Resources, and program staff to ensure accurate financial processing
  • Maintain strict confidentiality of employee, payroll, and financial information
  • Support the organization’s mission, values, and commitment to ethical financial management
