Purpose: The Accounting Assistant contributes to the daily operations of the Accounting Department, ensuring financial transactions are recorded accurately and the company remains audit-ready. This position will assist in all aspects of the Accounting Department, including AP/AR, bookkeeping, recordkeeping, reporting, and general administrative support. Essential Functions: Enter daily financial transactions and data into the accounting software. Maintain vehicle fleet documentation, registrations, fuel cards, EZ pass and reporting. Assist in all areas of Accounts Payable. Organize and maintain digital and paper files for receipts, invoices, and tax documents. Assist with insurance compliance and records. Provide support to the Accounting Team during the month-end closing process, including account reconciliations. Answer questions from vendors or coworkers about payments and billing. Assist with preparing basic financial reports and spreadsheets in Excel. Answer and direct incoming phone calls to the appropriate staff members. General office duties and support. Draft, format, and proofread professional emails, memos, and letters. Perform general clerical tasks such as photocopying, scanning, and binding documents. Ability to read, write, and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to speak effectively before groups of customers or employees of the organization. Basic knowledge of bookkeeping, financial reporting, and account reconciliations. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to solve problems. Ability to use office equipment such as computers, printers, and fax machines. Ability to lift up to 25lbs.
