Learn more about working with us at topconcareers.com We are seeking a dependable and detail-oriented Accounting and Administrative Assistant to support basic accounting and recordkeeping functions as well as day-to-day office operations. This role helps ensure financial records, vendor information, and internal documentation remain organized and up to date while also supporting general office needs. The ideal candidate is highly organized, comfortable working with financial information, and able to manage recurring administrative tasks with accuracy and consistency. Prior experience supporting accounting or bookkeeping functions is helpful but not required. This is a part-time position requiring approximately 20 hours per week. The role is onsite at our Pensacola office Monday through Friday, with a schedule of roughly 4 hours per day. Exact daily hours may have some flexibility depending on office needs.

Requirements

  • Strong organizational skills and attention to detail
  • Comfortable working with financial information and maintaining accurate records
  • Proficiency with common office software such as Microsoft Excel, Word, and Outlook or Google Workspace
  • Ability to manage digital files and maintain consistent documentation processes
  • Basic understanding of bookkeeping concepts such as invoices, payments, receipts, and reconciliations
  • Strong communication skills when interacting with vendors and internal team members

Nice To Haves

  • Familiarity with accounting software such as QuickBooks, Xero, NetSuite, or similar platforms is helpful
  • Experience using collaboration tools such as Microsoft Teams, Slack, or shared cloud file systems (OneDrive, Google Drive, Dropbox)

Responsibilities

  • Assist with accounts payable, accounts receivable, and bank reconciliation recordkeeping
  • Maintain organized financial and operational documentation
  • Monitor and update internal tracking systems and shared team resources
  • Support vendor communication and documentation management
  • Help maintain accurate records related to transactions, deliveries, and company expenses
  • Support basic bookkeeping processes such as reconciliations and document management
  • Provide administrative support to accounting and operations teams
  • Assist with incoming mail and check handling
  • Maintain organized office filing systems and administrative records
  • Assist with purchasing and routine office-related requests
