About The Position

This position (Accountant) is responsible for managing the Cash function, ensuring accurate and timely processing of vendor invoices, payments, and expense reimbursements. The role includes entering journal entries and adjustments as part of month-end closing procedures and ensuring compliance with company policies, accounting standards, and regulatory requirements. The Accountant works closely with the accounting team to maintain proper cash flow, ensure the accuracy of general ledger accounts and financial records, and support the operations and purchasing functions of Timberlyne.

Requirements

  • Must be proficient in Microsoft Office Products (Word, Excel, Outlook) and proficient in using pivot tables and/or excel formulas is preferred.
  • Must have strong analytical skills to identify trends, errors, and opportunities for cost savings.
  • Possesses extreme attention to detail skills and ensures accuracy in processing and reconciling transactions.
  • Must have strong critical and problem skills to handle vendor issues and internal discrepancies effectively.
  • Demonstrate strong organizational skills and be able to prioritize and manage several projects and transactions for multiple locations.
  • Must be able to work independently and have strong time management skills.
  • Must have excellent communication skills, including the ability to have difficult conversations, especially to the management team and vendors. Be proactive in communication and can collaborate with others to reach solutions and show empathy throughout the communication process.
  • Must hold a bachelor's degree in business administration, finance, or accounting.
  • Must have 3-5 years of work experience in an accounting or financial management position.

Responsibilities

  • Oversees the end-to-end Cash process, ensuring timely and accurate processing of invoices and payments.
  • Maintains an organized filing system by ensuring all check stub copies are scanned with their corresponding invoices. Oversees vendor set up processes including tax forms, payment details, Certificates of Insurance, and compliance documentation.
  • Reviews and enter invoices for payment, ensuring proper coding, authorization, and compliance with company policies. This includes ensuring employee reimbursements of expenses, annual payments of property/ real estate taxes, making weekly payments to installation contractors, and entering weekly logger payroll for the transfer of material to our sawmills.
  • Maintains the AP aging report, ensuring invoices are paid in accordance with agreed-upon term to ensure cash flow maximization. Manage any PO accruals, review variances, and provide solutions.
  • Collaborate with managers and purchasers to ensure payments are made according to the terms and conditions.
  • Reconciles and monitors corporate bank accounts and corporate credit card expenses and provides information and solutions to the CFO to maximize cash flow.
  • Monitors early payment discounts and make financial decisions on payment based upon several factors such as cash flow and future revenues/costs.
  • Provide checks and balances with the accounting payable system ensuring proper three-way matching between purchase orders, invoices, and receiving documents; and properly use Visual and QuickBooks to generate reports for reconciliation.
  • Establish and maintain positive vendor relationships and manages and resolves vendor disputes and discrepancies and collaborates with management to provide solutions.
  • Enters, tracks, and pays commissions to independent contracted sales reps
  • Runs costings for the Controller's review to ensure costs are allocated to the proper jobs and general ledger accounts.
  • Ensures inter-company transactions are being allocated properly. Ensures accurate debit/credit entries are entered and are reconciled.
  • Reconcile benefits, payroll and liability/workers' compensation cost reports with payments deducted from the corporate bank accounts and ensures the costs are allocated to the proper departments and GL codes.
  • Reviews and reconciles corporate credit card transactions by ensuring proper receipt documentation for company transaction, that employees properly coded their transactions and then download the corporate credit card report to make the necessary journal entries to code all monthly transactions to the correct department, GL code, and job.
  • Ensures compliance with 1099 reporting and IRS requirements for independent contractors and suppliers.
  • Assist the CFO and Controller for month and year end accounting/financial reporting.
  • Assist the CFO and Controller in preparing for the annual audit by making year-end journal entries, ensuring accuracy of GL accounts, and preparing work papers for the external auditors.
