About The Position

Under the direction of the Accounting Supervisor, the Accountant is responsible for processing the organization’s accounts payable, cash receipts, and money deposits to ensure accuracy, timeliness, and compliance. This position plays a key role in financial reporting, reconciliation, and internal control related to expenditures and regulatory compliance. The Honolulu Museum of Art, opened in 1927, is a home for art and education created for the benefit of the entire community. Founder Anna Rice Cooke envisioned a museum that would bring people together through the power of art and “the deep intuitions that are common to all.” The museum was conceived of as a place of meaningful exchange and dialogue, celebrating the diverse artistic and cultural traditions of Hawai‘i’s multi-ethnic population. From this founding intention grew the museum of today, with a world-class encyclopedic collection of more than 55,000 works of art, representing a stunning breadth of places and eras, from all corners of the globe and from the ancient past to the present day.

Requirements

  • Associate’s or bachelor’s degree in accounting, relevant business degree, or current enrollment within an Accounting or other relevant program.
  • Knowledge of Generally Accepted Accounting Principles (GAAP) and internal controls.
  • Proficient in Microsoft Office products, including Excel.
  • Able to communicate effectively with a diverse population of museum staff, vendors, and constituents.
  • Able to handle sensitive data with confidentiality and discretion.
  • Demonstrates strong problem-solving skills and ability to provide creative solutions.
  • Able to work independently.
  • Highly organized with exceptional attention to detail.
  • Honesty, integrity, and a strong work ethic supported by commitment, enthusiasm, and follow-through.
  • Ability to work within and support a diverse community of visitors, artists, and employees.

Nice To Haves

  • 1 or more years of experience on an accounting team, preferably for museum or nonprofit organizations.
  • Working knowledge of Blackbaud Financial Edge Software.
  • Understanding of applicable rules related to processing 1099 forms at year end.
  • Strong verbal and written communication skills.
  • Ability to monitor own work to ensure quality, accuracy, and thoroughness.
  • Ability to prioritize and use time efficiently.
  • Ability to work in a creative environment with excellent interpersonal skills.
  • Understanding of Honolulu Museum of Art’s established identity and dedication to advancing it.

Responsibilities

  • Accurately enters new vendor data and updates to existing vendor data, maintains accounts payable files, and archives previous fiscal years.
  • Collects and processes invoices in Financial Edge software for payment via third-party vendor and monitors payment status.
  • Tracks, prepares, and mails manual checks for special vendors, rush payment, and special circumstances.
  • Oversees the management of credit card processing via third-party vendor and the recording of credit card transactions to the general ledger.
  • Maintains current Form W-9 files and attach form to vendor file in Financial Edge software.
  • Assists with the preparation of Form 1099-MISC at year end.
  • Responds to inquiries related to Accounts Payable from all departments and vendors.
  • Initiates and completes petty cash replenishment and change orders with the Bank.
  • Assists with the preparation of audit and tax requests (Accounts Payable).
  • Conducts the daily collection, recording, and deposit of cash from various cash register locations, departments, and vendors.
  • Maintains pledge and vendor receivables including invoice creation and aging.
  • Assists with the preparation of audit and tax requests (Accounts Receivable and Cash Receipts).
  • Cross trains with other Finance team members.
  • Creates and updates documentation for Standard Operating Procedures.
  • Contributes to continuous improvement in processes and systems including but not limited to implementation and testing.
