HALO is seeking an Account Solutions Specialist who will play a key role in ensuring seamless order flow from placement to payment for substantial amount of client orders. This position serves as the primary point of contact for multiple Account Executives, proactively resolving order issues, facilitating communication between internal and external stakeholders, and driving efficiencies in the order-to-cash process. By collaborating across teams, the Account Solutions Specialist helps transform the organization from tactical order taking to a true business partnership with customers and sales support. HALO is committed to its hybrid workplace model and believes bringing teams together in person on common days is essential to operate as One HALO. As part of this effort, we require employees who reside within a 30-mile radius of the Sterling, IL office to work in-person 1x a week.

Requirements

  • High school diploma or equivalent required.
  • 2+ years of administrative and/or customer service experience a must.
  • Strong attention to detail with exceptional organizational skills.
  • Active listening skills, including asking clarifying questions and responding thoughtfully.
  • Proficiency with basic computer use, including Microsoft Office; highly proficient in Excel and report analysis
  • Must be system adaptable; strong ability to learn company-specific systems quickly.
  • Professional written and verbal communication skills, including strong email and telephone etiquette.
  • Ability to multi-task and manage time effectively to meet strict deadlines.
  • Flexibility to work both independently and as part of a collaborative team environment.

Responsibilities

  • Bring focus to open order current or potential issues needing resolved with the help of Account Executives and/or HALO team members/support
  • Facilitate continuous order flow from order to payment by reducing time between order to PO, PO to shipment, shipment to invoice, and invoice to payment
  • Raise any concerns or order holds that are causing delays by escalating priority orders to appropriate functional Team Leaders
  • Advise Concierge Team Supervisor of repetitive flow interruption issues for root cause analysis and continuous improvement initiatives
  • Serve as the Primary-Point-of-Contact for Account Executives
  • In response to Account Executive inquiries, monitor Order status and provide updates to Sales users
  • Proactively review orders waiting external response (and seek either direct (AE) or indirect Customer/Supplier) feedback with the help of teammates
  • Provide feedback to Account Executives on opportunities to prepare more complete orders
  • Recommend open order priorities to Concierge Team Supervisor based on Event/due dates, rush orders or special requests.
  • Identify and address open orders with team members with complexity such as multi-ship, multi-bill-to, or special requests for freight or other notes
  • Escalate issues needing Sales management to the Sr. Concierge or Leadership
  • Collaborate with Billing Coordinators, Credit, and AP to help resolve customer and supplier issues needing Account Executive intervention
  • Drive the organizational shift from being tactical order takers to being business partners to customers and sales support.
