About The Position

To perform accounting clerical duties in the preparation, processing and maintenance of school site and District accounting records and purchasing functions; and to perform related clerical work. Position is located at various district sites. This class is distinguished from the Account Clerk I as the employee at this level will work directly with site and District personnel on budgets and accounting procedures. This position travels throughout the District. Receives supervision from a designated supervisor and site administrator. May exercise technical supervision over student assistants.

Requirements

  • Knowledge of: Modern office practices, procedures, methods, and equipment.
  • Principles and procedures of record keeping, including basic financial record keeping reporting and terminology.
  • English usage, spelling, grammar and punctuation.
  • Basic arithmetic principles.
  • Possess an understanding of policies, procedures, regulations and technical processes relating to budgets, account codes and school site plans.
  • Ability to: Apply generally accepted accounting and auditing procedures.
  • Perform financial clerical work related to the preparation, processing and maintenance of school site and District accounts payable and other accounts as assigned.
  • Perform computational tasks and other clerical functions with speed and accuracy.
  • Effectively use computer hardware and software applicable to assignment.
  • Operate standard office machines and equipment.
  • Type and enter data at a speed necessary for successful job performance.
  • Understand and follow oral and written instructions.
  • Communicate clearly, concisely and professionally, both orally and in writing.
  • Establish and maintain effective working relationships with those contacted in the course of work.
  • Read and understand job related financial records, reports and technical and procedural requirements

  • Any combination equivalent to: graduation from high school and supplemented by college-level courses in business, accounting or related field and two years of increasingly responsible financial and accounting office experience involving public contact.

Responsibilities

  • Collate and code invoices and purchase orders for payment; verify the appropriateness for correct coding and accurate amounts; prepare and print checks.
  • Gather, assemble, tabulate, check and file financial and statistical data.
  • Process purchase orders; assign account codes, vendor identification numbers and purchase order numbers; extend and type requisitions; secure appropriate written approvals and maintain vendor lists.
  • Reconcile vendor statements; receive and account for cash; deposit funds received; Post adjustments and corrections to balance accounts including budgets.
  • Maintain equipment inventory; issue inventory tag; post data to computer inventory records.
  • Maintain records and files; enter data for transaction documents, forms, statistical reports and letters.
  • Meet and confer with site Administrators/Directors regarding adjustments and corrections to program budgets.
  • Open and distribute mail, type envelopes, documents, forms and letters
  • Provide routine accounting information in a timely manner.
  • Prepare monthly Board warrant report; Create and monitor accounts receivable invoices
  • Process revolving cash disbursements
  • Process annual 1099 information returns
  • Prepare bi-monthly EDD report
  • Prepare annual state sales and use tax reports
  • Prepare W-9 information as required
  • Perform related duties and responsibilities as required.
