About The Position

As a Partner in Wellbeing, the Access Specialist works with a team to provide direction of services needed, meeting directly with clients and their families working with various financial situations and special requirements. Escalate calls where they are beyond job scope, ensuring quality service. Follow through with customers and problems to ensure closure. This function involves extensive use of electronic health record and data entry accuracy. Within the team, Access Specialists will assist in multiple duties, including answering multi-line telephone systems, registrations, insurance verification, referrals, scheduling, and financial counselling to clients and family members. This position is the first point of contact in assisting clients in their wellbeing journey. The Access Specialist also supports clients’ access to psychology services by assisting the psychologist with information collection and administration of tests. Contributes to clients’ satisfaction and experience at Alluma through face-to-face and virtual interactions as well as telephone calls.

Requirements

  • High school diploma/GED; additional qualifications are considered an asset.
  • Must pass a criminal background check through MN DHS NetStudy.
  • Access to a personal vehicle and the ability and willingness to use the vehicle in carrying out position responsibilities.
  • Valid driver’s license and insurable under the agency’s automobile insurance policy.
  • Free from substance use problems for a period no less than 2 years.

Responsibilities

  • Delivers exceptional client care by ensuring scheduling practices for providers are prioritized.
  • Serves clients by answering questions, providing information, and assisting them in accessing recommending services.
  • Contributes to the EHR integrity by ensuring client information is current and accurate.
  • Portrays a positive attitude and approachable demeanor to ensure clients feel welcomed during the check-in and reception process.
  • Navigates the EHR easily to access and retrieve information from the client record.
  • Maintains client accounts and adheres to compliance standards by completing and processing paperwork, administering screeners, and obtaining signatures.
  • Assists in the revenue management cycle by recording/updating demographic and financial information and collection client co-pays/services charges.
  • Maintains operations by following policies and procedures reporting needed changes.
  • Participates in quality improvement initiatives and the development of applicable procedures and standard work.
  • Collaborates with the Licensed Psychologist regarding administrative assistance, documentation to support testing, test administration, and scoring.
  • Performs additional duties as assigned or requested.
