About The Position

The Access Services Supervisor supports in the oversight of circulation services, course reserves, and consortia borrowing/lending. This position will collaborate with library colleagues and provide creative, solution-oriented advocacy to make existing access services more visible and explore opportunities for new services. This position reports to the Dean of the Library and supervises student employees who provide Access Services support duties. The Evening Supervisor typically works 1:00 pm - 10:00 pm Monday through Friday and may be asked to occasionally attend meetings or events during the weekday or weekends to support departmental and unit services.

Requirements

  • Associate's degree.
  • Supervisory experience or understanding of the principles of effective personnel management.
  • Interest in and ability to experiment with and adapt to new technologies along with a commitment to continuous learning in the work environment.
  • Ability to exercise diplomacy in negotiations both within the library team and the campus population, allowing and encouraging all parties to have a voice.
  • Proven, demonstrable record of a strong customer service ethic in a library environment.
  • Ability to build and sustain strong working relationships with library and university-wide faculty and staff.
  • Strong verbal and written communication skills.
  • Ability to prioritize and resolve problems with minimal supervision.

  • Effective ability to use and learn computers, technology, software, and applications at level of sophistication required for the duties of the position, including, without limitation, Microsoft Office (Outlook, Word, Excel, and PowerPoint), the internet, and computerized maintenance management systems.
  • All University of Portland positions require the ability to quickly learn and use new technologies, software, and applications in depth and at level of proficiency required for duties of the position.

Nice To Haves

Responsibilities

  • Oversee shift responsibilities and schedules, prioritizing workloads and setting appropriate deadlines, ensuring departmental policies and quality and timeliness of work is being met.
  • Hire, train, supervise, and mentor student employees to staff areas of responsibility. Supervisory responsibilities include hiring processes, setting of expectations, training and professional development, performance management and evaluations, timesheet approval and disciplinary processes including up to termination of employment.
  • Manage Circulation Unit functions and processes associated with standard library procedures including but not limited to check in, check out, placing holds, paying fines, creating patron accounts, printing, and consortial borrowing.
  • Oversee public spaces, including the administration of study rooms, collaborative spaces, and other public spaces with the Springshare system (i.e. Libcal).
  • Maintain statistics for circulation, interlibrary loans, reserves, and overall library space usage; interpret data to make informed decisions and provide recommendations to Dean.
  • Manage the billing process for lost and damaged materials.
  • Manage consortial borrowing and lending processes and work collegially with lending partners.
  • Maintain Access Services documentation, including the Circulation Manual and circulation policies and procedures.
  • Process electronic and print course reserves, including requesting copyright permissions, and make them available to students to view.
  • Troubleshoot computer and software equipment and refer appropriately.
  • Process Interlibrary Loan requests and receive Interlibrary Loan articles in the absence of the Interlibrary Loan Coordinator.
  • Establish an environment of service excellence by: Engaging in work practices and conduct that promote and model the values and practices of excellent customer service, Promoting inclusive customer service focus across the team and exercising sound judgment when interpreting and applying policies, Working cooperatively to brainstorm ideas and solutions, Recognizing and acting on opportunities to exhibit leadership and promote the library.
  • Provide leadership and functional expertise for fulfillment-related aspects of the library's integrated library system, Alma.
  • Keep abreast of trends, major developments, and technologies to improve performance and Access Services.
  • Other duties as relevant to the duties of the position or as assigned by supervisor or designee.
