About The Position

Wayne State University is searching for an experienced Academic Services Officer III (ASO III) College of Engineering – Department of Industrial & Systems at its Detroit campus location. Essential functions (job duties): The Academic Services Officer III (ASO III) serves as the primary and senior undergraduate admissions and academic advising specialist for the Industrial & Systems Engineering (ISE) Department. The position focuses on growing and managing the undergraduate enrollment pipeline and supporting student success through advising and retention initiatives. Working in close collaboration with the University Undergraduate Admissions Office, College of Engineering advising staff, and the ISE Department Chair, the ASO III: • Builds and manages the undergraduate admissions funnel from inquiry through enrollment. • Engages admitted students and their families to increase yield and reduce melt. • Provides academic advising and student success support for current and incoming ISE students, with particular attention to transfer and pre-engineering pathways. Graduate admissions activities are supported primarily through separate teams; the ASO I may provide departmental information or coordination as needed but will focus on undergraduate programs.

Requirements

  • Master’s degree from an accredited institution in a related field such as education, higher education administration, counseling, engineering, business, or a closely related area.
  • Minimum of 5 years of experience in higher education or a related setting providing student facing services such as:
  • Undergraduate admissions or enrollment management, Academic advising, student success, or support services, and/or Recruitment activities in a college or university environment.
  • Excellent written and oral communication skills; able to explain academic programs and processes clearly to diverse audiences.
  • Demonstrated ability to establish rapport with students, staff, faculty, parents/families, and external partners (e.g., school counselors, community college advisors).
  • Ability to provide supportive, accurate, and ethical advising to students from a variety of backgrounds.
  • Sensitivity to the needs of first-generation, transfer, and underrepresented students.
  • Ability to learn and effectively use admissions, CRM, and student information systems to manage and track the enrollment pipeline.
  • Comfort with outreach and follow-up via email, phone, virtual platforms, and in-person meetings to move students through the admissions and enrollment process.
  • Strong analytic and problem-solving skills, including the ability to interpret data and identify trends related to admissions and student success.
  • Ability to manage multiple priorities, events, and Timelines simultaneously with attention to detail and follow-through.
  • Demonstrated ability to work as an integral member of a team, collaborating across departments and units.
  • Commitment to professionalism, discretion, and confidentiality when handling sensitive student information and situations.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and comfort learning additional software tools.
  • Experience with or willingness to learn student information systems, CRM systems, and basic communication/marketing tools (web, email campaigns, and social media) in support of admissions and advising goals.

  • Experience working with engineering, STEM, or technical programs is preferred but not required.

Responsibilities

  • Coordinate with University Undergraduate Admissions
  • Serve as the primary ISE liaison to the College of Engineering recruitment staff.
  • Monitor ISE program visibility in university recruitment materials, websites, and campus tours and recommend updates to ensure accurate, compelling representation.
  • Participate in admissions planning meetings and working groups as requested to align departmental goals with college/university enrollment strategies.
  • Manage the Undergraduate Admissions Funnel
  • Use university systems (e.g., CRM, student information systems) to track prospects, inquiries, applicants, admits, and enrollees for ISE programs.
  • Identify incomplete applications and proactively contact students to help them submit missing materials or resolve questions.
  • Provide Amely, accurate information to prospective students and families on admission requirements, program options, scholarships (as appropriate), and next steps in the process.
  • High School & Community College Recruitment (Undergraduate Focus)
  • Identify priority feeder high schools and community colleges in collaboration with central recruitment teams.
  • Conduct targeted recruitment visits (individual and group) focused on increasing applications and qualified interest in ISE undergraduate programs.
  • Develop and deliver presentations that explain Industrial & Systems Engineering, program structures, career pathways, and the value of ISE within the College of Engineering.
  • Build and maintain productive relationships with school counselors, community college advisors, and relevant student organizations to support ongoing undergraduate recruitment.
  • Admitted-Student Engagement & Yield Management
  • Implement structured communication plans (email, phone, text, virtual meetings) to engage admitted undergraduate students between admission and registration.
  • Provide individualized support to admitted students and families regarding registration, orientation, financial aid referrals, housing referrals, and other enrollment steps.
  • Coordinate admitted-student events (virtual and in-person) such as department information sessions, lab tours, and meet-and-greet opportunities with faculty, current students, and alumni.
  • Identify and address common barriers to enrollment (e.g., confusion about mathematics placement, transfer credit concerns, scheduling issues) by working closely with advising and other campus offices.
  • Data, Metrics, and Continuous Improvement
  • Track and regularly report key enrollment metrics (inquiries, applications, admits, yield, and melt) to the Department Chair and College leadership.
  • Assist in identifying trends by school, program, and student characteristics to inform recruitment and yield strategies.
  • Recommend and help implement small-scale experiments (e.g., revised messaging, targeted outreach to specific schools/programs, pilot visit formats) and evaluate their impact on applications and yield.
  • Limited Graduate Admissions Coordination (as needed)
  • Provide program-level information to prospective graduate students and direct them to the appropriate Graduate School and College-level contacts.
  • Coordinate with graduate recruitment staff when requested, ensuring consistent program messaging, while maintaining primary focus on undergraduate enrollment.
  • Academic Advising for Undergraduate ISE Students
  • Provide advising support to current and incoming undergraduate ISE majors and pre-majors, including course selection, degree planning, and academic policies.
  • Assist students in understanding program requirements, prerequisite sequences, and pathways to Amely graduation.
  • Collaborate with College-level advising teams to ensure consistency with college and university policies.
  • Onboarding and Transition for New Students
  • Support the academic onboarding of newly enrolled students, including those transitioning from pre-engineering, exploratory programs, or other majors into ISE.
  • Participate in orientation and welcome events, presenting program information and guiding students through first-semester course choices.
  • Provide advising touchpoints for students moving from community colleges or other institutions into ISE programs.
  • Transfer & Community College Pathways
  • Work with community college advisors and university transfer offices to help students understand how their coursework applies to ISE degree requirements.
  • Support the use and communication of transfer guides and articulation agreements, identifying and flagging areas where updates or clarifications are needed.
  • Provide pre-transfer advising consultations for prospective transfer students to support a smooth academic transition to ISE.
  • Student Success, Retention, and Early Intervention
  • Monitor the academic progress of assigned students, identifying those experiencing academic difficulty or at risk for stopping out.
  • Conduct proactive outreach to students on probation, those who have repeated key courses, or who exhibit patterns of academic concern.
  • Connect students with appropriate campus resources (tutoring, academic success centers, counseling, financial aid, career services) to support holistic success.
  • Encourage students’ engagement in high-impact practices (internships, co-ops, undergraduate research, student organizations) in collaboration with faculty and career services.
  • Advising Communication & Student Engagement
  • Develop and distribute clear advising communications related to registration, important deadlines, curriculum changes, and academic opportunities.
  • Help foster a sense of belonging and community within ISE by supporting advising related workshops, small-group sessions, and student information sessions as needed.
  • Targeted Events & Representation
  • Assist with or coordinate departmental events that directly support undergraduate recruitment, admitted-student yield, or student success (e.g., visit days, orientation sessions, advising workshops).
  • Represent the ISE Department at selected college and university functions related to recruitment, advising, and student success, in coordination with the Department Chair and College leadership.
  • Strategic Coordinator & Assessment Support
  • Serve as a departmental resource and liaison in support of assessment activities, including contributions to reports and documentation for accreditation or institutional assessment, as requested by the Department Chair.
  • Provide data and narrative input related to admissions, enrollment, advising, and student success outcomes as needed.
  • Other Duties
  • Perform related duties as assigned to support the mission and strategic goals of the Industrial & Systems Engineering Department and the College of Engineering.
